Nominal Ledger Functions

Posting Date

The following validations on the posting date are performed on the entry of a Posting Date in any of the Nominal Ledger posting functions.

Note: The basis for the determination of the Current Accounting Period can be changed to todays date by the use of the Nominal Ledger System parameter 'Test posting date based on Todays date'. If this parameter is switched on then the accounting period is defined as being the Start and End dates of the month in which todays date falls.

Within Nominal Range

This check makes sure that the date entered falls within the two year range held in the Nominal Ledger dates file. A Warning message is given and the date rejected if invalid. The same warning message is made if the date is left blank.

Prior Period Date

Prior period posting dates are no longer allowed in any of the Nominal Ledger Journal functions. If the posting date is not greater than or equal to the Start Date of the Current Accounting Period then the user will be warned and the date will be set to the Start Date of the Current Accounting Period.

Allow Future Dates

A check is made against the system parameters to see if future posting dates are allowed. If future postings parameter is set to 'N'ever then the user is warned and the date is set to the end date of the Current Accounting Period. If the system parameter flag is set to a priority level then a check is made to see that this priority level is less than the users access level. If this is not the case then the user is warned they "Have insufficient priority to make future postings" and the date is set to the end date of the Current Accounting Period.

Sales Ledger Functions

Document Date

The following validations are performed on the entry of a Document Date in any of the Sales Ledger Document posting functions.

Within Nominal Range

This check makes sure that the date entered falls within the two year range held in the Nominal Ledger dates file. A Warning message is given and the date rejected if invalid. The same warning message is made if the date is left blank.

Bid Range Check

This check is controlled by two system parameters which are number of days before todays date and number of days after todays date. The date entered will be checked to ensure it falls within this range. This function can be switched off by setting the number of days to 9999 in each case. This feature can also be over-ridden by the use of the over-ride priority system parameter. If the system parameter flag is set to a priority level then a check is made to see that this priority level is less than the users access level. If this is the case then the user will be warned that the date entered is out of range but the date will be accepted.

Prior Period Date

Prior period document dates are allowed if the Bid Range function is switched off. Because the posting date is defaulted upon entry of the document date this causes a warning message 'Posting Date in prior period' however upon acceptance of the message the Document Date is set to that entered.

Allow Future Dates

Future period document dates are allowed if the Bid Range function is switched off. Because the posting date is defaulted upon entry of the document date this causes a warning message 'Posting Date will post to a future period' however upon acceptance of the message the Document Date is set to that entered.

Due Date

The following validations on the due date are performed on the entry of a Due Date in any of the Sales Ledger Document posting functions.

Due Date Prior to Today's Date

Prior period due dates are allowed but because the due date is defaulted upon entry of the document date this can cause a warning message 'Due Date is prior to today's date' however upon acceptance of the message the Due Date is accepted as defaulted.

The following validations are performed on the entry of a Document Date in any of the Purchase Ledger Document posting functions.

Due Date

The following validations on the due date are performed on the entry of a Due Date in any of the Purchase Ledger Document posting functions.

Due Date Prior to Today's Date

Prior period due dates are allowed but because the due date is defaulted upon entry of the document date this can cause a warning message 'Due Date is prior to today's date' however upon acceptance of the message the Due Date is accepted as defaulted.
