View overview of Reservation Group Expansion Process
The Reservation Group Expansion Process is designed so that rental operators in a fast moving rental environment may have a quick at-a-glance view of the availability status of individual vehicles within a specific hire group for a particular calendar period.
Set Reservation Group Expansion Parameter
The Reservation Group Expansion process is enabled by ticking-on the Allow Group Expansion checkbox in the General 4 Tab of System Parameters. This enables all of the following functionality.
View/Set Reservation Expansion Legends
When the hire group is expanded within the Reservations form the rental operator can view vehicles that are availible for selection, allocated vehicles, vehicles on-hire and vehicles in the workshop for repair. Each of these availability statuses has its own colour legend. The colour legend is user-definable and may be set within the Reservation Group Expansion Group Box in the General 4 Tab of System Parameters.
Use the button immediately to the right
of the Allocation field to define the colour legend for allocated vehicles. This legend is displayed in the
Reservations form; agreements that have a vehicle allocated to them are then displayed in this colour when the
hire group is expanded.
Use the button immediately to the right
of the On-Hire field to define the colour legend for vehicles that are currently out on hire. This legend
is displayed in the Reservations form; agreements/vehicles that are on hire are then displayed in this colour when the
hire group is expanded.
Use the button immediately to the right
of the Maint Bookings field in the General 5 Tab
of System Parameters to define the colour legend for vehicles that are currently booked in to the Workshop. This legend
is displayed in the Reservations form; agreements/vehicles that are currently in the workshop are then displayed in this
colour when the hire group is expanded.
Vehicles that are still available for hire have a white colour legend as a default.
Expand Hire Group within the Reservations form
Access the Reservations form.
For the required hire group select the blue triangle icon
immediately to the right of the Hire Group Code.
All of the vehicles within that hire group are now displayed in a drop-down grid view. The Registration number is displayed in grey immediately to the left of the grid. Immediately to the left of the registration number column the vehicle start location code is also displayed. The availability status of the individual vehicles within the hire group may be viewed at-a-glance by referencing the colour legend.
Open an agreement from the expanded Reservation Group
From the expanded hire group grid an agreement may be opened with a right-click on the required agreement/registration grid line and selecting Open agreement ???? from the pop-up sub-menu (where ???? denotes the corresponding agreement number).
Allocate an alternative vehicle to an agreement
From the expanded hire group grid a new vehicle may be allocated to the currently selected agreement by using a right-click on the required agreement/registration grid line and selecting Allocate alternative vehicle to agreement ????; current vehicle is AAAAAAA from the pop-up sub-menu (where ???? denotes the corresponding agreement number and AAAAAAA denotes the current vehicle registration number).
Then, from the expanded hire group grid select a new vehicle by using a right-click on the required agreement/registration grid line of the required vehicle registration and selecting Allocate vehicle AAAAAAA to agreement ???? from the pop-up sub-menu (where ???? denotes the corresponding agreement number and AAAAAAA denotes the new vehicle registration number). Alternatively, select Cancel Pending Allocation to cancel the re-allocation process.
View Start and Return Locations for a specific vehicle/agreement
As an aid to assist with vehicle availability the start location code for the agreement/vehicle combination is displayed in the column immediately to the left of the grey registration number column. The end location code for the agreement/vehicle combination is displayed in the last cell of the appropriate agreement/vehicle line in the grid.
