RELEASE BATCHES

Overview

This option enables the validated invoice types, which are not set for automatic release, to be posted through to the Accounts system.

This form is constituted of five elements, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The content of the Release Batches menu bar is as follows:

Exit

Exits to the Invoicing Procedures menu.

Provides online access to a context sensitive Help form.

Toolbar

The content of the Release Batches toolbar is as follows:

Exits to the Invoicing Procedures menu.

Provides online access to a context sensitive Help form.

Release Batches Dialogue Box

The following information is contained within the Release Batches Dialogue Box:

The following details are contained within the grid:

Displays a list of invoice types that are NOT set for automatic release.

The number of items contained within the pending file awaiting release. They are added to the next batch and allocated invoice numbers.

Displays the release status flag (a tick) denoting whether the batch is to be released or held.

The invoice date to be applied to the items to be released. The field is blank upon entry to the form. The tax point date to be used on the relevant invoices must be entered here.

A single-right-lick on any line within the grid opens up the Invoice Date field for that batch. The required date for release of the batch is to be entered.

By clicking-on the down-arrow button immediately to the right of the date fields a monthly diary form is displayed in order to assist in establishing the correct date. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the appropriate date field.

Tip: Enter Tto display today's date.

If a future date is entered, a sub-form is displayed prompting to Confirm Future Date or Re-edit.

Once the required date is entered, a tick is automatically placed within the Release field to denote that the selected invoice types are available for release.

Command Buttons

A single command button is applicable to this form:

Selection of this command button releases any invoices that have a date applied against them, enabling them to be added to a standard batch process, for the allocation of an invoice number.
