ACCOUNT BALANCE DETAILS

Overview

Accessed by way of the Contract Review form followed by selection of either Account Balance from the View Menu or the accbal.gif icon from the Toolbar which presents the Account Balance form. A single-left-click of the mouse on any row within the Account Balance Grid presents the Account Balance Details form for review of any invoice/credit item within the grid.

This form is split into four parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Menu Bar

The content of the Account Balance Details menu bar is as follows:

Exit

Exits to the Account Balance form.

Provides online access to a context sensitive Help form.

Toolbar

The content of the Account Balance Details toolbar is as follows:

Exits to the Account Balance form.

Provides online access to a context sensitive Help form.

Account Balance Details Dialogue Box

The Account Balance Details Dialogue Box enables the selected invoice or credit item to be reviewed (but not edited) in more detail by displaying the following fields:

The registration number of the vehicle(s) associated with this Sales Ledger account and to which the invoice/credit item is applicable.

The full vehicle variant description.

Displays the agreement number associated with the selected item on the account balance.

Displays the full description for the invoice or credit item e.g. Period Rentals + VAT, Initial Rentals, etc.

The Sales Ledger account code (e.g. A0099) for the account which is under review and is associated with the currently selected contract invoice or credit.

The invoice or credit number for the selected row item.

The date on which the selected item is invoiced/credited.

The full invoice or credit amount for the item. A negative value (-) denotes a credit note or negative invoice.

The calculated VAT amount for the item. A negative value (-) denotes a credit note or negative invoice.

May contain a part payment or a full payment value which is yet to be allocated to the Sales Ledger from Fleet (in this case, the Paid Item field below displays a tick).

The date full or part payment is made.

Displays the invoice line number for this item (useful for cross-referencing against a physical invoice).

A checkbox which, it ticked, denotes that the selected item is fully paid though not yet fully allocated to the Sales Ledger.
