CONTRACT BROKERING

Overview

The Contract Brokering screen is accessed via Vehicle Purchasing / Contract Brokering and enables set-up to be carried out for a vehicle that is being leased through a third party/broker i.e. the leasing company may be quoting a rental of £200 but the broker may be selling up at £250. This screen enables the third/party broker to be defined in addition to how and what the third party/broker is to be paid. Set-up here enables the generation of the appropriate profi lines within Contract Review.

This screen is constituted of four elements, which are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of useful buttons.

Menu Bar

The content of the Contract Brokering menu bar is as follows:

Open

Clears the screen of any existing broker data and returns the cursor to the Registration Number field for input of a new vehicle registration number.

Exit

Exits to the Vehicle Purchasing menu.

Displays the message Are you sure you want to post these values? If the Yes command button is selected then the appropriate profi lines are amended within Contract Review. Two additional profi lines are generated: a Broker Invoice line is created with a makeup Src of X; and a Broker Generated Profit line is created with a makeup Src of Y.

Warning: A Broker Payment Batching batch code must be created within Contract Administration / Batch Control / Broker Batches.

Provides online access to a context sensitive Help screen.

Toolbar

The content of the Contract Brokering toolbar is as follows:

Exits to the Vehicle Purchasingmenu.

Contract Brokering Dialogue Box

The following data fields are contained within the Contract Brokering Dialogue Box:

On entry to this screen the registration or agreement number for the vehicle is required. This may be keyed directly or the Fleet Global Search facility may be invoked by selection of the ellipsis button immediately to the right of this field.

The master number of the relevant agreement that is linked to the vehicle. The agreement number produced at the quotation stage of the contract. Selection of the ellipsis button (...) immediately to the right of this field displays theFleet Global Search screen that enables a vehicle to be found by entering search selection criteria.

Located immediately to the right of the Master Record field. The status flag denotes the status of the agreement for example, L (Live).

The periodic Regular Rental calculated within the Quotations module.

The rental value to which the broker/third party is able to sell up to a customer.

The broker generating the business.

A single-left-click of the ellipsis button immediately to the right of this field displays a Broker Records search form that enables selection from the current available broker codes The cursor is located in the search field. Key part or all of the required finance house code and select the Broker command button. Brokers matching the entered criteria are displayed and, having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Contract Brokering screen. Alternatively, select the Broker command button and all Broker codes are displayed; select from available codes using the scroll bar to move up and down the list if required.

Broker records are set up within Contract Administration / Miscellaneous Options / Brokerage Details.

The additional periodic regular rental value that the broker has achieved i.e. the New Period Value less the Current Period Value.

The Additional Rentals value multiplied by the number of periods within the contract (for example, 36).

The part value of the Additional Rentals to be paid to the broker as a fee. This value may be automatically calculated if the Fee Rate percentage default value is populated in the Brokerage Details option within Contract Administration i.e. the Additional Rentals value multiplied by the Fee Rate percentage.

The Broker Payment value multiplied by the number of periods within the contract (for example, 36).

The Additional Rentals less the Broker Payment i.e. the additional rental profit generated by the broker less the broker fee.

The Profit Adjustment value multiplied by the number of periods within the contract (for example, 36).

The schedule basis on which the broker is to be paid.

A single-left-click of the ellipsis button immediately to the right of this field displays a Schedule Basis search form that enables selection from the current available schedule codes. The cursor is located in the search field. Key part or all of the required schedule code and select the Basis command button. Payment Schedules matching the entered criteria are displayed (for example, MONTH Monthly Drip) and, having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Contract Brokering screen. Alternatively, select the Basis command button and all payment schedule codes are displayed; select from available codes using the scroll bar to move up and down the list if required.
