QUOTATION CONSOLIDATION

Overview

Accessed by way of Fleet Quotations / System Maintenance / Consolidate Quotation Files.

This form is utilised to locate, select and delete particular quotations by way of a number of alternative selection criteria methods.

This form is split into four parts, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The contents of the Quotation Consolidation menu bar is as follows:

Exits to the System Maintenance Menu.

Prints the selected quotation document.

This menu option is used to confirm the required quotation search criteria and proceed with the quotation search.

Provides online access to a context sensitive Help form.

Toolbar

The contents of the full toolbar are as follows:

Exits to the System Maintenance Menu.

Confirms the required quotation search criteria and proceeds with the quotation search.

This icon is only available when the system is processing a search. Selection of this icon halts the calculation process.

Deletes any quotations that are highlighted.

This icon only becomes available when the Recovery Tab is selected. The Recovery Tab displays any quotations that have been deleted (and have a Status of X). Selecting this icon returns the selected quotation(s) to the Basic Tab and returns it/them to a Status of X.

Provides online context sensitive help information to the user

Quotation Consolidation Dialogue Box

This area is split into three tabs which are as follows:

This tab contains one basic selection criteria field and a full selection display area. The search criteria field may be used to find the relevant quotations and they are displayed within the Selection Display area To delete the records highlight the appropriate quotations and select the delete.gif icon. These quotations are then displayed in the Recovery Tab as deleted (i.e. with a status of X). Deleted quotations cannot be searched for or edited within the quotations form (unless they are later recovered using the Recovery Tab).

Where xxxxx is the user who is currently logged-in. If this checkbox is ticked then the Selection Display area only displays quotations that have been generated by the current user. If deselected (i.e. the tick removed) then the form displays all quotations.

Once the required selection criteria is entered, the Selection Display section of the form displays all quotations meeting the selected criteria and provides the following data:

Quote No

The unique quotation number e.g. 0001983

Date

The date on which the quotation is created.

Time

The time at which the quotation is created.

Salesman

The User ID of the Salesman/user against whom the quotation is generated.

Customer Name

Displays both the target contact name and the name of the customer for whom the quotation is generated.

Product Description

The product description used within the quotation e.g. Contract Hire with Maintenance.

Profile

Displays the Finance Profile e.g. 3 33 2.

Status

The current status of the quotation e.g. Qfor Quoted.

If the List Box contains more quotations than the box can display, the form presents a Scroll Bar which is operated in a number of ways:

There are four selection criteria fields that may be used individually or in conjunction with each other in order to locate the required quotation(s). The search criteria fields may be used to find the relevant quotations and they are displayed within the Selection Display area. To delete the records highlight the appropriate quotations and select the delete.gif icon. These quotations are then displayed in the Recovery Tabas deleted (i.e. with a status of X).

Clicking the ellipsis button for this field produces a drop-down list displaying the various quotation statuses:

Accepted

Deleted

Expired

Lost Sale

Quote

Clicking on the required option enters the appropriate status into the dialogue box. A search is performed on these criteria. e.g. If A is entered the system displays all "Accepted" quotations.

There are two fields available here so that a range of dates - "From" and "To" - can be entered for the quotation selection criteria.

A date range is entered which ensures that the system searches for all quotations created on and between the "From" and "To" dates.

By clicking-on the ellipsis (...) button to the right of either of the date fields a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the appropriate date field. Tab or click with the mouse to move to the "To" date field.

Allows entry of a text string by which to search for a customer name. This is particularly useful in conjunction with other selection criteria fields.

This tab contains quotations which have previously been deleted. The two search criteria fields may be used to find the relevant quotations and they are displayed within the Selection Display area. All quotations displayed within this tab have a status of X for "deleted". To "undelete" or "recover" these records, highlight the appropriate quotations and select the reset.gif icon. These quotations are then returned to the Basic Tab i.e. they are reverted to a Quoted status.
