RATESBOOK SEARCH

Overview

This form is utilised to locate, select and open a particular ratesbook by way of a number of alternative selection criteria methods.

This form is split into six parts, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The contents of the Ratesbook Search menu bar is as follows:

Once the required ratesbook has been located and highlighted the selection of this option opens up the quotation for review purposes.

Returns to the primary Ratesbook form.

Provides online access to a context sensitive Help form.

Toolbar

The contents of the full toolbar are as follows:

Exit returns to the primary ratesbook form.

Confirms the required ratesbook search criteria and proceeds with the ratesbook search.

Provides online context sensitive help information to the user

Selection Criteria Area

There are five selection criteria fields which may be used individually or in conjunction with each other in order to locate the required ratesbook(s). Following entry of the required selection criteria the icon is used to display all ratesbooks meeting the given criteria.

If known, the ratesbook Number (omitting any leading zeros) is entered directly into this field and the icon selected. The Ratesbook form, displaying the required quotation, is then displayed in the normal way.

There are two fields available here so that a range of dates - "From" and "To" - can be entered for the ratesbook selection criteria.

A date range is entered which ensures that the system searches for all ratesbooks created between the "From" and "To" dates.

By clicking-on the ellipsis (...) button to the right of either of the date fields a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the appropriate date field. Tab or click with the mouse to move to the "To" date field.

Enables the selection of a specific company (by way of a "contains" search on the Customer Name field) for which ratesbooks can be displayed.

This facility allows entry of free-format text that assists with identification in a vehicle search. For example, entering the text string abc auto results in the ratesbook search facility displaying all ratesbooks containing this text within the customer name field. Any number of words may be selected within the 60 character field limitation. The context field is not case sensitive.

This is particularly useful in conjunction with other selection criteria fields.

Clicking in this Check Box, and ticking this option, displays all of the ratesbooks produced on the current day. Clicking again deselects the option.

Clicking in this Check Box, and ticking this option, displays all of the ratesbooks produced by the particular user who is logged-on. Clicking again deselects the option.

Selection Display

Once the required selection criteria is entered, the Selection Display section of the form displays all ratesbooks meeting the selected criteria and provides the following data:

Ratesbook

Displays the unique ratesbook number e.g. 0001983

Date

The date on which the ratesbook is created.

Salesman

The User ID of the Salesman/user against whom the ratesbook is generated.

Desc

Displays the user-defined description entered in the Description field within the Details Tab.

Customer

The name of the customer for whom the ratesbook is generated.

Having located the required ratesbook record a double-click of the mouse opens the ratesbook form and displays the ratesbook in the normal way.

If the List Box contains more quotations than the box can display, the form presents a Scroll Bar which is operated in a number of ways:
