VEHICLE POOLING

Overview

Accessed by way of the Terminations / Quotations & Extensions menu options followed by selection of Vehicle Pooling.

This option enables vehicles to be linked to, or taken off, the pooled vehicle fleet of the customer associated with it.

If the vehicle is pooled then it is linked with like vehicles at the time of termination, allowing for the correct calculation of the excess mileage invoice.

It may be necessary to take a vehicle out of the pool. As a result this vehicle is calculated for Excess or Under mileage at Termination and invoiced separately from the rest of the fleet.

Any customer set for pooled mileage in the controls automatically has every vehicle included in the pool on acceptance of the contract. Only vehicles that are to be excluded, or that were live prior to the pooled agreement being signed and should have been included, require alteration in this way.

Note: The option of adding or deleting vehicles from the pooling system is only enabled if the customer is set to Pooled = Yes within System Controls.

This Vehicle Pooling screen is split into five parts that are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of useful buttons.

Menu Bar

The content of the Vehicle Pooling menu bar contains the following options:

Clears the current data from the screen and moves the cursor to the Registration Number field so that a new vehicle may be selected.

If on entry to the screen the selected vehicle is not included in the customer's pool of vehicles then this menu option is enabled. If selected then the pooled flag on the contract is set to Yes. Therefore when the termination occurs the system includes any values from this vehicle in the pooled mileage calculation.

If on entry to the screen the selected vehicle is included in the customer's pool of vehicles then this menu option is enabled. If selected then the pooled flag on the contract is set to No. Therefore when the termination occurs the system does not include any values from this vehicle in the pooled mileage calculation.As a result this vehicle is calculated for Excess or Under mileage at Termination and invoiced separately from the rest of the fleet.

Exits the Vehicle Pooling form and returns to the Quotations & Extensions menu.

Toolbar

The full toolbar contents are as follows:

Termination Quote Dialogue Box

The following fields are displayed:

The registration number of the vehicle. The ellipsis button (...) immediately to the right of the Registration No field is used to initiate the Fleet Global Search . This screen is utilised to locate, select and open a particular vehicle record by way of a number of alternative selection criteria methods.

The master agreement number (produced at the Convert Quote stage of the contract e.g. 100045 ) for which the termination quotation is to be created. The ellipsis button (...) immediately to the right of the Master Record field is used to initiate the Fleet Global Search . This screen is utilised to locate, select and open a particular vehicle record by way of a number of alternative selection criteria methods.

The status of the contract e.g. Live.

Command Buttons

The following command buttons are available within this form:

This is a toggle button that displays the appropriate remove or include message as appropriate.

If on entry to the screen the selected vehicle is not included in the customer's pool of vehicles then the command button displays the Include Vehicle in Pool label. If the command button is selected then the pooled flag on the contract is set to Yes. Therefore when the termination occurs the system includes any values from this vehicle in the pooled mileage calculation.

If on entry to the screen the selected vehicle is included in the customer's pool of vehicles then the command button displays the Remove Vehicle From Pool label. If the command button is selected then the pooled flag on the contract is set to No. Therefore when the termination occurs the system does not include any values from this vehicle in the pooled mileage calculation. As a result this vehicle is calculated for Excess or Under mileage at Termination and invoiced separately from the rest of the fleet.
