The Prevent/Allow Access screen is accessed via System Maintenance / Prevent/Allow Access and is a facility to prevent or allow other users to access a module whilst a specific procedure is being carried out.
This option is available in the System maintenance menu within various modules
Action taken within this option only affects those users in the same module. For example, if in Contract Administration the Display Users command button is selected, then terminals working in Maintenance Control are not displayed.
This screen is constituted of four elements, which are as follows:
In addition to displaying the screen name the Title Bar provides a number of useful buttons.
The following fields are displayed within the Prevent/Allow Access Dialogue Box :
Displays the current module code and name e.g. FC - Contract Administration .
Displays the current company number and name e.g. 73 - Training Company .
A checkbox which denotes that access is either currently allowed or prevented.
When the Status check box is left blank then access is permitted; the screen displays an Access Allowed message.
When the check box is set to a tick, then other users are prevented from gaining access to the module; the screen displays an Access prevented by ??? on Terminal X (where ??? is the user id and X is the Terminal number).
If a user subsequently tries to enter the module a message is displayed showing the user ID and terminal number of the person who is preventing access.
When the Display Users command button is selected, the information shown in the grid is as follows:
The Terminal number that is being used e.g. 52 .
The Terminal location description.
The logged-on User ID. An ID of ILLEGAL denotes that the user was in the module but exited illegally.
The access type has a code of either IorX.
TypeImeans that the other user is in the module.
TypeXmeans that the other user has the module in Exclusive use mode. Any further users attempting to use the Management Accounts will be prevented from doing so.
The following command buttons are available:
Displays, within the Access Grid above, all users in the current module .
Clear Illegal Users
Clears all users that are illegally logged into the system. This includes users that may have not logged out properly or users that have had a problem with their PC.
Warning: This option should not be run when there are other users in the module, and should only be run after consultation with your System supervisor.
Exits to the System Maintenance Menu .
Provides online context-sensitive help.
