The Purge Old Quotes screen is accessed via Fleet System Management / System Maintenance / Purge Old Quotes
This option actually does more than simply purge old quotations. It purges the files of all quotations which have passed their retention date, and then reports on the number of other records which could be purged. If the archive module is set up then the old quotations are sent to the archive files.
The records which are checked in this option are as follows.
Quotations
Quotes basis records
Audit log entries
Major cost update records
Message log
Data preparation records
Option residual x-ref. records
Maintenance approvals
Vehicle collection records
Vehicle delivery records
Termination basis nominal records.
Following the purge procedure file links and indexes are verified to ensure major file structures are in good order.
A print is produced identifying the records which have been deleted.
It is normal to run this option as part of the end of day procedure, although it need not be run every day.
In addition to displaying the screen name the Title Bar provides a number of useful buttons.
This screen displays the following two options:
Displays the number of old quotation records that are successfully purged.
Displays the number of other records (in the areas detailed above) that may also be purged.
A number of command buttons are available:
Runs the purge routine and at the end of the run displays how many quotes were deleted together with the number of other records which could also be deleted.
Cancels the menu options and returns to the System Maintenance Menu .
Provides online access to a context sensitive Help screen.
