PURGE ACCIDENT RECORDS

Overview

The Purge Accident Records form is accessed via Vehicle Administration / Miscellaneous Options / Purge Accidents. The accident file will continually grow. It may therefore be necessary to purge old records from time to time. This housekeeping routine therefore has been written to purge the accident file of old records. The Months Before Purge field within the General Tab in Vehicle Administration / System Maintenance / System Parameters holds a value showing the number of months to hold an accident record before it is deleted.

The form is split into three areas. These are the Titlebar, the Purge Accident Records Dialogue Box and the column of Command Buttons to the side of the form.

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Purge Accident Records Dialogue Box

This area of the form simply contains a description of what is achieved by initiating the Purge Accident Records routine. The description is as follows:

This process will delete all accidents and associated records prior to ??/??/????.

This option is available through the menu process but may also be placed within Timed Operations as an overnight timed event.

Accident records may only be purged if the Repair Stage status (see the Accident Tab is Completed and if there are no outstanding postings.

Note: The ??/??/???? denotes a date that is determined by the Months Before Purge field within the General Tab in Vehicle Administration / System Maintenance / System Parameters. This holds a value showing the number of months to hold an accident record before it is deleted.

Command Buttons

Command buttons are available as follows:

Proceeds to purge accident data prior to the displayed date.

Note: This process is priority driven. The priority level required to use this process is determined in the Priority to Purge field within the General Tab in System Maintenance / System Parameters

Exits the Purge Accident Records routine without taking any action and returns to the Miscellaneous Options Menu.

Provides online access to a context sensitive Help form.

Status Bar

When the purge is initiated this area of the form confirms that it is taking place by displaying the message "Purging Accident Records".
