BRANCH RECORDS

Overview

The Branch Records set-up screen is accessed via Movement Control / Miscellaneous Options / Branches and is used to create, edit and delete branch records or collection/delivery agents (used as regular collection/delivery sources) which are used when creating a collection, delivery or tracking record within Vehicle Movements.

For example, when creating a collection record, the branch denotes the branch from where the collection is to be made.

The screen is split into three areas. These are the Titlebar, the Branch Records Dialogue Box and the column of Command Buttons down the right-hand side of the screen.

Title Bar

In addition to displaying the screen name the Title Bar provides a number of useful buttons.

To create a new branch record type select the Create Command Button.

To view or amend an existing branch record use the following procedure:

The cursor is located in the Branch Code field prompting selection of a branch code/description for the purposes of editing an existing record. A single-left-click of the ellipsis button to the right of this field displays a Delivery Branches search form that enables selection from the current available branch codes. The branch codes are displayed and, having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Branch Records screen.

The branch code is a four character alphanumeric field.

Contains a number of details relating to the selected branch, which are as follows:

A thirty character alphanumeric free-format meaningful textual description for the selected branch.

The address of the branch or delivery/collection company. There are up to five lines of address, each containing up to 35 characters.

The post code of the branch or delivery/collection company.

The main person to contact at the branch or delivery/collection company.

The telephone number of the branch or delivery/collection company.

The fax number of the branch or delivery/collection company.

The email address of the branch or delivery/collection company.

A checkbox which, if ticked, denotes that the selected branch or delivery/collection company works on Saturdays . If left blank then delivery or collection records for a date that is a Saturday cannot be created for this branch.

A checkbox which, if ticked, denotes that the selected branch or delivery/collection company works on Sundays . If left blank then delivery or collection records for a date that is a Sunday cannot be created for this branch.

Command Buttons

A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Exits the Branch Records screen and returns to the Miscellaneous Options Menu.

Provides online access to a context sensitive Help screen.

Enables the creation of an additional Branch Records record. Mutually exclusive option buttons allow this to be done in one of the two following ways:

Used if a new Branch code is to be set-up without utilising existing criteria.

Copies the values within an existing "nearest match" Branch code so that only required values need be edited.

Provides the facility for editing the set-up options of the current Branch record. No edits can be made to a record until the Amend button has been selected.

Deletes the currently selected Branch code record.

On first accessing the Branch Records screen this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.

On first accessing the Branch Records screen this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.

This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK".

Selection of this button displays a further screen that provides an Ad-hoc Report Generator for the creation of quick query reports to screen.

Selection of this button displays a further screen that provides an itemised display of all the selection criteria for the current Branch code record.
