Accessed via Fleet System Management / Miscellaneous Options / Posting Controls / Lease Definitions and selection of the Lease Elements Tab .
This tab displays a grid that enables the selection of the required Lease Elements for the current lease definition record . This area is perhaps the closest mirror image to the Product within Fleet Quotations .
There is the facility on each Lease Definition to hold up to 30 Lease Elements .
A single-left-click within a cell of this column displays an ellipsis [...] button. This ellipsis button enables access to the Lease Elements table defined with Fleet System Management / Miscellaneous Options / Posting Controls / Lease Elements ) in order that the appropriate lease element code may be allocated to the lease definition.
Following selection the lease element code is then displayed within this cell e.g. 5 . In addition, the default credit and debit codes from the lease element are also automatically displayed.
N.B. If an Additional Cost Lease Element is selected then (following completion of the relevant details) a second single-left-click is enabled within a cell of this column in the row immediately beneath the Type code. This displays a second ellipsis [...] button which displays an Additional Costs List Box . A specific additional cost sub record may then be defined e.g. DOCFEE (Documentation Fees) which can have its own specific Schedule e.g. MONTHLY - Monthly Drip. A succession of Additional Costs may be selected with this facility enabling each of them to have their own specific separate schedule drip defined (monthly, upfront, reverse rule of 78, etc)
Following selection of the Lease Element code the full lease element description is automatically displayed within this cell e.g. RFL .
A valid schedule must be entered to provide the required interval for invoice frequency and posting into accounts for all lease elements. This field is not relevant for the Rental lease element line (and receives a default value of A ) because the schedule is determined within the fleet quotation itself.
Automatically displays the default debit Nominal Ledger expense code for the selected lease element. If an alternative code is required then a single-left-click within a cell of this column displays an ellipsis [...] button.
Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger expense code for the selected lease element.
Within the blank field at the top of the list box some or all of the required expense code shortname may be entered and the Shortname command button selected. All of the account codes with a shortname that meets the entered criteria are displayed in the list box below. The required code should be selected with the mouse and the OK command button used to confirm this selection.
Alternatively, this field may be left blank and selection of the Shortname command button then displays all current expense codes in alphanumeric order and the scroll bar to the right of the form used to locate the required code.
The short name for the debit Nominal Ledger expense code associated with this lease element. This is automatically displayed upon selection of the DR code.
