PRODUCT DETAILS - GENERAL TAB

Overview

Accessed via Fleet System Management / Miscellaneous Options / Posting Controls / Product Details and selection of the General Tab .

Displays a number of details relating to the product and allocates debit and credit expense codes for deposit and profit details relating to the selected product record which are as follows:

A 30 character alphanumeric free-format textual description for the selected Product Code e.g. Contract Hire With Maintenance .

Determines the order in which products are displayed when performing a product search. By default, the product assigned as sequence 1 is used as the quotation default. This can be overridden by Customer or Lease Type.

As there is a limited space on the Ring Menu this field enables entry of an abbreviation for the product; this is shown on the Ring Menu, within the Quotation, when the option is taken to select a product.

The product priority level. This is the minimum level for an operator before they can have access to this product record at quotation stage. For example, if the priority is set to 5 then a user with a priority of 4 , who can produce quotations, does not have access to this product but does have access to products that have a priority of 4 or lower.

A checkbox which, if ticked, denotes that the system is to produce a balloon rental as the last rental to be charged to the customer. This facilitates a Contract Purchase type of product agreement. If left blank, then no balloon rental is produced as is normal with Contract Hire.

Selection of the down-arrow immediately to the right of this field presents a drop-down list of applicable values, which are as follows:

This is a flag which initiates the system to carry out specific functions when calculating the quotation. 

Different types of contract can be classed as Qualifying or Non-Qualifying for VAT rules. Generally, Contract Hire products are qualifying whereas Contract Purchase are not. If it is a qualifying contract then consideration is given to the VAT element of the residual value within the quotation. This definition also needs to be recorded on the invoice to the customer. Setting this flag correctly enables the quotation to treat the residual value correctly and also records this information.

This flag determines how the following four tabs function.

Selection of the down-arrow immediately to the right of this field presents a drop-down list of applicable values, which are as follows:

Within each rental split (first, second, etc) there is a table of elements that may be used to calculate the total rental. Selecting a Y against the element defines to which rental split the costs associated with that element are apportioned. For example, the first rental split may be the finance portion of the total rental and it is likely that the Finance and Depreciation elements are allocated to it. The second rental split may be the maintenance portion of the total rental and the remaining items not selection within the first tab will be allocated to it. If the total rental, for example, is then calculated at £ 500 it may be that the sum of the values for Finance and Depreciation equate to £ 350 and the sum of all other elements within the maintenance portion equate to £ 150.

As with the percentage basis, the system applies a constraint that over the four rental split tabs all of the elements must be allocated a Y . It is not permissible to create the record if one or more elements is left blank over all four forms.

Denotes that a percentage value of the whole (that equates to the 1st, 2nd, 3rd and 4th rental split) is required. For example, the first rental split may be the finance element and equates to 75% of the total rental; the second rental split may be the maintenance element and equates to 25% of the total rental. In this instance there would be no need to define the third and forth rental splits as the first two add up to 100%. If they did not then the remaining rental splits would need to be defined until they totaled 100%.

The VAT Assumption code applied to any deposit specified at the time of the quotation. This refers to an actual true deposit as opposed to an initial rental.

If the three Nominal Ledger codes to the left of the form, under the refundable label, are used then this denotes that the deposit is refundable.

If the three Nominal Ledger codes to the right of the form, under the non-refundable label, are used then this denotes that the deposit is non-refundable.

If a refundable deposit is specified within the quotation this is the Nominal Ledger debit expense code used during the periodic posting process. If the default code is not required then an alternative valid Nominal Ledger code should be entered.

Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger credit expense code for the deposit.

Within the blank field at the top of the list box some or all of the required expense code shortname may be entered and the Shortname command button selected. All of the account codes with a shortname that meets the entered criteria are displayed in the list box below. The required code should be selected with the mouse and the OK command button used to confirm this selection.

Alternatively, this field may be left blank and selection of the Shortname command button then displays all current expense codes in alphanumeric order and the scroll bar to the right of the form used to locate the required code.

If a non-refundable deposit is specified within the quotation this is the Nominal Ledger debit expense code used during the periodic posting process. If the default code is not required then an alternative valid Nominal Ledger code should be entered.

Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger credit expense code for the deposit.

Within the blank field at the top of the list box some or all of the required expense code shortname may be entered and the Shortname command button selected. All of the account codes with a shortname that meets the entered criteria are displayed in the list box below. The Nominal Ledger debit expense code used to post to the nominal ledger the profit drips during the life of the contract.

Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger debit expense code for the profit.

All of the account codes with a shortname that meets the entered criteria are displayed in the list box below. The Nominal Ledger credit expense code used to post to the nominal ledger the profit drips during the life of the contract.

Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger credit expense code for the profit.

Within the blank field at the top of the list box some or all of the required expense code shortname may be entered and the Shortname command button selected. All of the account codes with a shortname that meets the entered criteria are displayed in the list box below. The required code should be selected with the mouse and the OK command button used to confirm this selection.

Alternatively, this field may be left blank and selection of the Shortname command button then displays all current expense codes in alphanumeric order and the scroll bar to the right of the form used to locate the required code.

A checkbox which, if ticked, denotes that profit is to drip through to the Nominal Ledger to the same schedule as the rental e.g. 3 initial and 33 monthly drips. If the checkbox is not ticked then profit is to drip through as per the schedule attached to the lease definition.

Any change to the profit - an amendment to the residual or depreciation, for example, may be posted to a separate Nominal Ledger code as an adjustment. For example, if the profit is originally £ 500, the original £ 500 profit line is retained and a separate profit adjustment line is created for the amended profit value e.g. £ 100.
