The Lease Elements set-up form is accessed via Fleet System Management / Miscellaneous Options / Posting Controls / Lease Elements.
Allows the creation of the lease element which is an individual constituent part of a lease and is to be included within the Lease Definition. It specifies the default Nominal Ledger codes used within the creation of the lease definition.
The form is split into three areas. These are the Titlebar , the Lease Elements Dialogue Box and the column of Command Buttons down the right-hand side of the form.
In addition to displaying the form name the Title Bar provides a number of useful buttons.
To create a new lease element select the Create command button.
To view or amend an existing element use the following procedure:
The cursor is located in the Lease Element field prompting selection of a lease element type. A unique two digit code for the lease element is held within this field.
A single-left-click of the ellipsis button to the right of this field displays an Lease Elements List Box that enables selection from the current elements on the system. Following selection of the element by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Lease Elements form.
A free format description of the lease element e.g. Motor Club .
Defines the type of lease element created and to what it refers e.g. B (Motor Club). This is a single digit pre-defined alpha code which cannot be created. It is an identifier for the (monthly) budget side of the system and all postings are analysed at this level.
The Make-up Source Code is required by the system and care should be taken not to allocated an incorrect source to the lease element.
The credit code allocated to the lease element which is then the default for the lease element within the lease definition e.g. 9454 (Motor Club Reserve). This is used in the periodic posting process. If the default code is not required within the lease definition then an alternative valid Nominal Ledger code can be entered.
Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger credit expense code for the lease element.
Within the blank field at the top of the list box some or all of the required expense code shortname may be entered and the Shortname command button selected. All of the account codes with a shortname that meets the entered criteria are displayed in the list box below. The required code should be selected with the mouse and the OK command button used to confirm this selection.
Alternatively, this field may be left blank and selection of the Shortname command button then displays all current expense codes in alphanumeric order and the scroll bar to the right of the form used to locate the required code.
The debit code allocated to the lease element which is then the default for the lease element within the lease definition e.g. 2410 (Motor Club Budgeted Costs). This is used in the periodic posting process. If the default code is not required within the lease definition then an alternative valid Nominal Ledger code can be entered.
Selection of the ellipsis button displays an Expense Code List Box that enables selection of the required Nominal Ledger debit expense code for the lease element.

A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:
Exits the Lease Elements form and returns to the Posting Controls Menu .
Provides online access to a context sensitive Help form.
Enables the creation of an additional Lease Element . Mutually exclusive option buttons allow this to be done in one of the two following ways:
- Blank
Used if a new Lease Element code is to be set-up without utilising existing criteria.
- Copy
Copies the values within an existing "nearest match" Lease Element code so that only required values need be edited.
Provides the facility for editing the set-up options of the current Lease Element record. No edits can be made to a record until the Amend button has been selected.
Deletes the currently selected Lease Element record.
On first accessing the Lease Definition form this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.
On first accessing the Lease Element s form this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.
This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK"
Selection of this button displays a further form that provides an Ad-hoc Report Generator for the creation of quick query reports to form..
Selection of this button displays a further form that provides an itemised display of all the selection criteria for the current Default ease Definition record.
