Parameter Defaults

Overview

When the option is taken to create System Parameters (within System Maintenance) it is the values entered within this default table that are used in the first instance to create the system parameters table. The parameter defaults are designed to aid creation of system parameters within the Vehicle Purchasing module and is particularly useful within a multi-company environment where it may be used as the default template for each company to be amended where required.

The System Parameters form is used to define top-level system defaults for the module.

What do you want to do?

To access the System Parameters:

  1. From the Master Menu, select the Vehicle Purchasing option and Company required.

    The Vehicle Purchasing menu is displayed.

  2. Select the Kerridge Utilities option.

    The Kerridge Utilities menu is displayed.

  3. Select the Parameter Defaults option.

    The System Parameters: Initial Record Details Tab is displayed.

The screen is split into four areas which are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of useful buttons.

Company Identifier: Displays the company number for the company that is currently being accessed for example, 00. This option may only be edited within Company Zero.

System Parameters Dialogue Box

Details Tab:

The following fields are displayed in the Details Tab:

Non-Recoverable: Vat code to be used for the Non-recoverable VAT at the point of raising the invoice to the Purchase ledger allowing payment to your supplier.

A single-left-click of the [...] button to the right of this field displays a VAT Rate Codes List Box from which the appropriate VAT rate is selected. This code has a matching VAT description and rate for example, E Exempt 0.00. A double-left-click selects and confirms the required VAT rate (alternatively, single-left-click and select the OK command button).

Recoverable: VAT code to be used for the Recoverable VAT at the point of raising the invoice to the Purchase ledger allowing payment to your supplier.

A single-left-click of the [...] button to the right of this field displays a VAT Rate Codes List Box from which the appropriate VAT rate is selected. This code has a matching VAT description and rate for example, S Standard Rate 17.5. A double-left-click selects and confirms the required VAT rate (alternatively, single-left-click and select the OK command button).

No Decals Text: Free format text to denote that decals (stickers on the vehicle) are not required on the vehicle for example, No Decals.

Own Decals Text: Free format text to denote that decals (stickers on the vehicle) are supplied in-house for example, Our Decals.

Dealer Decal Text: Free format text to denote that decals (stickers on the vehicle) are supplied by the dealer for example, Dealer Decals.

No Plates Text: Free format text to denote the supply of number plates is not required for example, No Plates.

Own Plates Text: Free format text to denote that number plates are to be supplied in-house for example, Our Plates.

Dealer Plates Text: Free format text to denote that number plates are supplied by the dealer for example, Dealer Plates.

No Mats Text: Free format text to denote the supply of car mats is not required for example, No Mats.

Own Mats Text: Free format text to denote that car mats are to be supplied in-house for example, Our Mats.

Dealer Mats Text: Free format text to denote that car mats are supplied by the dealer for example, Dealer Mats.

Factory Ordered Text: Free format text entry to denote that the supply source for the vehicle is a factory order for example, Factory Stock Order.

>Dealer Stock Text: Free format text entry to denote that the supply source for the vehicle is from the dealer for example, Dealer Stock Order.

Order Print: Check box which, if selected, denotes a mandatory multiple order print.

Use Acceptances?: Check box which, if selected, denotes that the leasing company wish to use the Acceptance Procedure process within the order module.

Note: If this check box is not selected then the Auto Acceptance check box must be selected within the Marketing module.

Use Bids?: Check box which, if selected, denotes that the leasing company wish to use the Bidding Procedure process within the order module.

Basis Code: Basis to be used for the posting of any profit on the purchase of the vehicle.

Credit Expense: Credit expense code for the credit expense posting.

Debit Expense: Debit expense code for the debit expense posting

Reports Tab:

In many parts of the system an administration option is now available within the menu bar and tool bars. Amongst other options the administration facility enables access to a Quick Reports facility. This displays a list of user-defined reports applicable to the current process. Once written within RepGen reports may be selected for inclusion within this menu list within the Reports Tab.

The following fields are contained within the Reports Tab:

Quick Mail Format: Pre-defined email relevant to the specific module area from which it is accessed (in this case, Vehicle Purchasing). This field displays the chosen Stationery Format code which is used to define the email layout for example, KQM (see Reports & Enquiries / Report Generator / Format Stationery).

Quick Report 1: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K03 (see Reports & Enquiries / Report Generator).

Quick Report 2: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K02 (see Reports & Enquiries / Report Generator).

Quick Report 3: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K10 (see Reports & Enquiries / Report Generator).

Quick Report 4: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K15 (see Reports & Enquiries / Report Generator).

Quick Report 5: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K16 (see Reports & Enquiries / Report Generator).

Quick Report 6: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K18 (see Reports & Enquiries / Report Generator).

Quick Report 7: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K20 (see Reports & Enquiries / Report Generator).

Quick Report 8: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K21 (see Reports & Enquiries / Report Generator).

Quick Report 9: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K24 (see Reports & Enquiries / Report Generator).

Quick Report 10: User-defined report applicable to the Vehicle Purchasing module that may, as a result of being selected within the Reports Tab is available with the Admin/ Quick Reports option within Vehicle Purchasing. This field displays the chosen Report code for example, K31 (see Reports & Enquiries / Report Generator).

Ebbon-Dacs Tab:

The following fields are contained within the Reports Tab:

Allow Ebbon-Dacs?: Check box which, if selected, enables the processing routines for exporting and importing Ebbon-Dacs files to function.

Ebbon-Dacs edit priority: Priority to allow editing of the Ebbon-Dacs sent date on each order (Makes an icon available in vehicle purchasing).

Ebbon-Dacs userid: No longer used.

Ebbon-Dacs password: No longer used.

Ebbon-Dacs SOAP URL: Link to the Ebbon-Dacs server for client. This process uses SOAP (simple Object Access Protocol)which is a lightweight XML-based messaging protocol used to encode the information in Web service request and response messages before sending them over a network.

Note: SOAP messages are independent of any operating system or protocol and may be transported using a variety of Internet protocols, including SMTP, MIME, and HTTP.

Ebbon-Dacs request parameters: Parameters used in conjunction with SOAP access to allow the client to access Ebbon-Dacs.

Ebbon-Dacs Proxy Settings: Enables entry of Ebbon-Dacs proxy server details to be entered. Up to 90 characters are available for use.

Progress code grid: This table is used as a cross reference between Ebbon-Dacs status messages i.e. the Status description and Kestrel order Progress codes for progress files returned from Ebbon-Dacs.

Invoice Register Tab:

The following fields are contained within the Invoice Register Tab:

Link to invoice register: Selection of this flag enables the processing routines for invoice register to function.

Invoice Type: Invoice Register Type that is applicable for vehicle purchase invoices.

A single-left-click of the [...] button to the right of this field displays a Invoice Types List Box from which the appropriate invoice type is selected. A double-left-click selects and confirms the required invoice type (alternatively, single-left-click and select the OK command button).

VAT reversal invtype: VAT reversal invtype that is applicable for vehicle purchase invoices.

A single-left-click of the [...] button to the right of this field displays a Invoice Types List Box from which the appropriate invoice type is selected. A double-left-click selects and confirms the required invoice type (alternatively, single-left-click and select the OK command button).

VAT reversal VAT code: VAT code applicable for a VAT reversal.

VAT Input expense: VAT input expense code to be used for invoice register posted invoices.

A single-left-click of the [...] button to the right of this field displays a Expense Code List Box from which the appropriate NL code is selected. A double-left-click selects and confirms the required NL code (alternatively, single-left-click and select the OK command button).

Command Buttons:

A number of command buttons are available. Some buttons are context sensitive and are dimmed and only become available (if at all) dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Exit: Exits the System Parameters screen and returns to the System Maintenance menu.

Help: Provides online access to a context sensitive Help screen.

Create: Enables the creation of an additional record. Mutually exclusive option buttons allow this to be done in one of the two following ways:

Blank: Used if a new record is to be set-up without utilising existing criteria.

Copy: Copies the values within an existing "nearest match" record so that only required values need be edited.

Amend: Provides the facility for editing the set-up options of the current record. No edits can be made to a record until the Amend button has been selected.

Save: Saves any amendments made to system controls and returns to the System Maintenance menu.

Cancel: On first accessing the screen this command button is dimmed. Following selection of the Amend button the Cancel option then becomes available to enable any edits to a record to be cancelled.

Message: This is not a command button. This box is a way of displaying messages with regard to the status of the current record for example, "Record Secured - OK"

Ad-hoc: Selection of this button displays a further screen that provides an Ad-hoc Report Generator for the creation of quick query reports to screen.

Setup: Selection of this button displays a further screen that provides an itemised display of all the selection criteria for the current record.
