This option enables you to search the target file for the required target record, or create the target record if not found.
The marketing target search form from Target Records is displayed when you select file and open from the top tool bar, click the icon, or click on
ellipse button.
Note:The Create button will only be enabled once you have carried out a search.
The search form uses three different ways to search.
You can choose which method you wish to conduct your search by selecting the appropriate radio button.
Magic Number: Will search the target file for the record number. Enter the target number and click on search button, the target record will be displayed.
Word search:Will search on up to three separate words, each one up to eight characters long, with a minimum of three characters to identify the target concerned. Words can only be searched on stem basis, and not on a contains basis, e.g. if you are looking for a target(s) called Mr Smith with an address in London, you can enter Smith in the first word and Lond in the second word, the system will retrieve any matching records. However if you entered ith and don, these are not the stem words of Smith and London, and the system would not retrieve a match. The word search is not case sensitive and will except the search in any order e.g. Lon and Smi.
You will be able to search for title, initials, surname, address lines 1-5, postcode, target short name, target first name and up to four phone numbers.When you have entered your criteria, click the search button. The system will now display a list of matching records showing the target record number, name and address.
To search again, click the cancel button in the target word search results form, change the search criteria, and click the search button.
To select a target click on the line and ok, this will display the target details.
Short name: Will enable the options to search for shortname, which is derived by the system from details within the surname, initials, postcode, and phone number.
Initials: Enter the initials of the target, click the search button. The system will display all matches or, if an exact match is found, then the first screen of the target-record. This field can be left blank.
Postcode: Enter the postcode of the target, click the search button. The system will display all matches or, if an exact match is found, then the first screen of the target-record. This field can be left blank.
Phone: Enter the phone number of the target, click the search button. The system will display all matches or, if an exact match is found, then the first screen of the target-record. This field can be left blank.
Warning: Always search thoroughly before creating a new record as duplicate target records can be created.
If the target record does not exist and you have carried out a thorough search, the create button will be enabled to allow you to enter the details into the target file. If the target word search form has not provided you with the correct target when you click cancel, you will be returned to the target marketing search form and the create button will be enable.
If the post code address file is not being used, you must enter the target details manually, as per Target Records.
Note: This section only applies to the UK
If the post code address file is being used when you click on create the system will open up a window, postcode lookup, prompting for the input of a post code.
Enter the post code, which can be entered in upper or lower case and does not require spaces. A second window showing (up to) the first ten street numbers or house names covered by that post code, and prompting for which building to select.
Assuming that a valid street number or house name is displayed, and that you have selected it, the system will display the complete address for that record in the original window.
At the bottom of the screen, you will be offered the opportunity to continue or retry. Assuming that the continue button is clicked, the system will search for existing targets with the same postcode and display them for information purposes only, thus checking again that this target has not been created on your marketing database. If you select continue the Target Records entering the address and postcode.
Note: The postal town is always shown in upper case. This is not an error but the convention recommended by the Post Office
PUSH BUTTONS:
Search. The radio button defaults to Word search, if this is left blank a message will be displayed, "Please enter a word for the word search". If the magic or short name radio button has been selected and left blank the system will display the whole target file in number order.
Cancel: Returns you to Target Records
Help: Display help on the current application.
Create: Allows a new target record to be created.
