Searching Advice Files

A search facility is available to help you locate an advice note and load it onto the Advice notes tab of the Advice Note and Order Processing form. You can search by part number, part description, bin location, advice note number, order number or order reference.

To search advice files:

  1. Display the Advice Note and Order Processing form and do one of the following:

    1. Click the Search for a particular part or advice note Search the advice file toolbar button.

    2. Select the Search the advice file command on the I want to... menu.

      The Search Advice File form is displayed.

  2. Select one of the radio buttons in the Search criteria group box, and enter any known text.

    Tip: If you not know the exact number or text, you can perform a partial search. For example, to find all parts containing the word BRAKE, select the Part description option, enter the word BRAKE and tick the Partial Search box. You can perform a partial search on all criteria except the order number.

  3. Click the Search button.

    You may get either of the following results:

    1. If a match is found, the search results are displayed in a grid. Double-click any line on the grid to load the associated advice note onto the Advice notes tab.

    2. If no match is found, the message is displayed: No lines found matching the selection criteria. Click OK, and re-enter the search criteria.

Search Advice File Form

This form is displayed when you click the Search for a particular part or advice note Search the advice file toolbar button, or select the Search the advice file command on the I want to... menu.

Search criteria:

It is possible to search an advice file for any one of the following criteria. Select one of the following radio buttons to indicate which criterion you want to use, and enter any known text:

  1. Part number

  2. Part description

  3. Bin location

  4. Advice note number (GRN)

  5. Order number (generated in Purchase Control)

  6. Order reference (manufacturer's order reference)

Partial Search: Tick this box if you do not know the exact number or text, and want to perform a partial search. You can perform a partial search on all criteria except the order number.

Search: Click this button to start the search based on the specified criteria.

Search results:

If any records match your search criteria, the results are displayed in a grid. For each record, the following details are displayed:

  1. Part number: The part number in the manufacturer's format.

  2. Description: A description of the part.

  3. GRN: The Goods Received Note or advice note number.

  4. Order no.: The order number generated in Purchase Control.

  5. Order ref: The manufacturer's order reference which is recorded in the Dealer comms field of the purchase order header when the order is created.

  6. Bin location: The bin location in which the part is held.

  7. Status: The current status of the part:

PUSH BUTTONS:

Close: Closes the form.

Help: Displays help on the current application using the default browser.

Clear: Resets the text field and Partial Search check box.
