Viewing and Editing Records

The Record Editor enables you to view, add, amend, and delete records in the file being edited.

Note: You may find that you are unable to add, amend or delete a record.

Viewing a Record

Note: This procedure assumes you have loaded the required file in the Edit File (...) form.

To view an existing record:

On the Edit File (...) form, do one of:

The Record Editor is displayed containing the selected record in non-edit mode.

Tip: You can also amend the record using this form.

Adding a New Record

Note: This procedure assumes you have loaded the required file in the Edit File (...) form.

To add a new record:

  1. On the Edit File (...) form, select Edit > Add record... from the menu bar or click the Add record toolbar button FileNew.gif

    The Record Editor is displayed containing a record with blank fields.

  2. Select Edit > Switch to Edit mode from the menu bar or click the Allow the record to be edited toolbar button allowEdit.gif

    The Value column becomes editable for all grid rows (record fields).

  3. Enter field values as required and select Edit > Save changes from the menu bar or click the Save your changes to this record toolbar button Save.gif

    The grid is redisplayed in non-edit mode.

  4. Select File > Exit from the menu bar or click the Exit toolbar button Exit.gif

    You are returned to the Edit File (...) form with the new record included as a line in its grid.

Amending a Record

Note: This procedure assumes you have loaded the required file in the Edit File (...) form.

To amend an existing record:

  1. Follow the procedure for viewing a record.

    The Record Editor is displayed containing the selected record.

  2. Select Edit > Switch to Edit mode from the menu bar or click the Allow the record to be edited toolbar button allowEdit.gif

    The Value column becomes editable for all grid rows (record fields).

  3. Amend field values as required and select Edit > Save changes from the menu bar or click the Save your changes to this record toolbar button Save.gif

    The updated record is stored and the grid is redisplayed in non-edit mode.

  4. Select File > Exit from the menu bar or click the Exit toolbar button Exit.gif

    You are returned to the Edit File (...) form with the amended record as a line in its grid.

Record Editor

This form is displayed when, on the Edit File (...) form, you initiate the viewing, adding, or amending of a record.

Edit > Save changes Save.gif Stores the updated record and redisplays the grid in non-edit mode
Edit > Cancel Cross.gif Redisplays the grid in non-edit mode, abandoning any changes you made during the edit session

GRID:

Field name: Field identifier

Field description: Purpose of the field

Value: Content of the field in the displayed record

Tip: Number field Values are right-justified, whilst dates and strings are left-justified. This helps with quickly identifying the type of field.
