To maintain Blanket Invoices in the Sales Ledger:
From the Rev.8 master menu select the Sales Ledger option and the company you require.
Click the OK button.
The SALES LEDGER menu is displayed.
Select the Maintain Blanket Invoices option.
Click the OK button.
The Maintain Blanket Invoices form is displayed.
This enables you to create, amend or delete the invoices that are used for Miscellaneous Invoicing. The idea is that an invoice can be created that applies to several SL accounts and several NL charge codes,and can be saved in a form of template and sent out time after time, often with minimal adjustment. The template can be used to raise invoices to the customers quoted in the Accounts List. resulting in more efficient invoicing.
Code: Assuming you are creating a new blanket invoice, type in a unique code here. It can be 4 characters long, and can contain alpha and numeric characters if required. Alternatively, if a code already exists, you can either enter it if you know what it is, or search using the button, where a list of Misc codes is displayed.
Description: This field should contain something that is meaningful to you. It can be up to 30 characters long.
Accounts list tab: At this point it is necessary to click the Create button. This invokes a grid within the form and enables you to enter the SL account,you must enter a valid code. There is a search facility if you right click in the name cell. Once the code has been entered and you have tabbed, the details of the SL account are displayed [for example the Name, Postcode, Type of account, currency, settlement terms and accounting division.] To add another account you must first click the Create button again and repeat the process.
Document tab: This tab holds information relating to the type of document [that is, Invoice or Credit note], the reference number [it is up to the user what is entered here] , and a Miscellaneous reference [again, this is up to user preference in terms of what they use]. If Branch Analysis [within Nominal Ledger] is enabled you will also be prompted for a Branch Code.
Item tab: The idea of this tab is to create the invoice itself, with the monetary value and Nominal Ledger coding attached to it, as well as some narrative in terms of what the invoice relates to. Therefore the user must enter the Cost Centre and Expense Code, a Suffix if applicable, some Narrative, a Price, the Quantity of goods,the Vat code [this drives the amount calculated for the Vat amount], and some Invoice text. When this is complete [you may wish to add several lines for different amounts and charge codes] , click the Save button at the foot of the form. If amending an existing invoice, the same sort of concepts apply. By right-clicking in the grid you also have the option to Delete the row, add some Invoice text, Edit the VAT code, and search for an NL account.
