This menu option allows the user to create,delete or amend a problem code that gives an indication why an invoice has been chased, or why the debtor is not settling the document. [e.g. there may be a code for "goods not received", "faulty goods " and so on. Each code must be meaningful to the credit control or CRM team so it is really up to individual preference in terms of what each one is called.
When you select the Edit Problem Codes option from the menu you will be presented with the Problem code form. Within this form you can Create, Amend and Delete Problem codes.
To create your code click the Create button and Autoline will initialise the form and request a Problem Code to be entered. This field is a single alpha numeric character.
Note: It is recommended that you use numerics to identify your problem codes. However you can use alpha if 10 problem codes is not adequate.
Once you have entered the identifier the following fields need to be completed.

To use this facility you first need to load the record you wish to amend.
This is done by Clicking the Ellipsis button to select the appropriate Problem code. When you click the OK button for your selection Autoline will load the requested record.
Click the Amend button and all the editable fields will become enabled. Make your amendments as necessary and click the Save button.
To delete an existing record you first need to load the record.
This is done by Clicking the Ellipsis button to select the appropriate Problem code. When you click the OK button for your selection Autoline will load the requested record.
Click the Delete button and all the fields will become disabled and at this stage you should check that this is the correct record to be deleted.
Click the Confirm button and the record will be deleted from the file.
On the Overdue debt terms form the other buttons that appear can be used in the following manner.

This button can be used to end any creation, amendment or deletion commands with out executing the commands. Therefore leaving the records unaffected. |
