Permission and Privacy Statement Parameters

See also: Menu Bar And Toolbar Definition

The Permission and privacy statement (PPS) development provides functionality to support dealers in dealing with the privacy of customers (for targets and companies) and the data collected about them.

The functionality provided makes it possible to define a statement that can be presented to the customers to ask them permission to use data collected about them for marketing purposes.

Note: This project was developed as a part of MBC POS requirements.

The parameters for the permission and privacy statement functionality are partially setup per CRM Company and partially per Point-of-sale Company. It is important the mappings of Point-of-companies to CRM companies are setup correctly as the permission and privacy statement functionality depends on it.

Permission and Privacy Statement Form

This form is displayed when you click Manufacturer systems (Module) and MB. Mercedes-Benz (Company) > Menu - Utilities > Mercedes-Benz parameters and you browse to + Marketing > + Permission and Privacy statement > [Company] on the Project parameters browser.

Tabs:

Configuration Tab

Fields:

User priority to modify statements in CRM: Enter the user priority that a user must have to be able to modify statement in CRM.

Note: When left blank, the user will be able to edit if he/she has access to CRM.

Update TPS flags matching communication channel decisions: This parameter can be used to determine how to handle the changes detected between the TPS flag setting of the customer and the channel decisions entered.

Note: Currently this works for Phone, fax, email and the option phone_and_fax.

  1. When selecting Set TPS a warning will be given when a decision of using a channel is set to DENIED and no corresponding TPS flag is set on the customers CRM record.

  2. Selecting Remove TPS will simply set TPS flags (when required) but ask for the users input when TPS flags are about to be removed.

  3. Selecting Always ask will ask the user for input when the TPS flag setting on the customer record is about to be changed.

Note: When choosing DENIED for email will not trigger the request for user input when the TPS flag is already set on the customers CRM record.

  4. When the option Change automatically is selected the user is never asked for input and the corresponding TPS flags are always set according to the decisions entered in the PPS channels.

Statements Tab

On this Tab it is possible to add / edit statements.

A statement consists of: A statement type, a version, statement text and at least one communication channel.

Note: Both the statement types as well as the communication channel codes can be setup in the Mercedes-Benz default tables MKPPS-TYPE and MKPPS-CC.

To add new statements:

When in amend mode click on the button New.

Select a statement type from the Statement type dropdown and enter the version number you would like to use.

Note: When an existing version number is entered a warning is displayed as the version number must remain unique.

Enter a higher version number to create a new statement or select a statement from the statement grid to change it (when not in use!)

The statement text can be entered in all languages installed on the system.

At least one channel must be defined for contacting the customer regarding the marketing related topics as defined in the statement text. The decision whether a customer agrees or denies the use of the channels will determine the overall status of Agreed/Denied or Partially agreed.

The communication channels added to the statement must be unique and can only be selected once.

When all is set, click Save to store the statement.

To edit existing statements:

To edit a statement select a statement from the statement grid when in amend mode.

Note: If a statement is used the column Used will be ticked and it is not possible to change this statement. The only exception to this rule would be for users with priority 8 or higher in CRM.

The reason for this is that a customer agreed/denied the use of his information based on the statement and the statement type and version number along with the decisions for the communication channels that are part of the statement are stored against the customer. Changing the statement would then erase/corrupt the actual statement the customer based his/her decision on.

If the statement must be changed, simply create a new version of the same statement type.
