Maintaining Repeat Repairs in Point of Sale

This function enables the assignment of a Repeat Repair reason to a Point-of-sale WIP line. The entered data is used within the Repeat Repair evaluation process.

Repeat Repairs Maintenance Form

This form is displayed when you click Point of Sale > Point-of-sale > select the Parts or Service option > enter your Operator ID to display the Point-of-Sale form, load the WIP required, and click the Links > Utilities > Repeat Repairs menu bar command. It maintains the information about the repeat repair for this WIP specific.

Menu Bar and Toolbar:

Saves the repeat repair reasons codes to the WIP (lines).

File > Ignore repeat repair EmailReplyAll.gif

Returns you to the Point-of-sale form without maintaining the repeat repair for the WIP (lines).


Tools > Reason codes LargeIcons.gif

Displays the Repeat Repair Reasons form, to maintain the reason codes required for the repeat repair evaluation.

Tools > Last invoice InvoiceGoods.gif

Displays the Document Retrieval form, to view the latest invoice for this vehicle.

Tools > Vehicle Vehicles.gif

Displays the vehicle record in the CRM form, to maintain or view detailed information of the vehicle.

Tools > Legend List.gif

Displays the legends which are used to indicate the style of the part and labour line.

Wip number: Displays the associated point-of-sale WIP number.

Assign Wip Lines:

Reason: Select the repeat repair reason for assignment to a WIP line.

Assign Wip Lines Button:

About.gif: Enables the entry of Notes regards the repeat repair WIP.

Assign Wip Lines Grid:

This area lists the transaction lines within the identified repeat WIP and enables the assignment of repeat repair reason code to the selected WIP lines.

Line: Displays the line number within the WIP.

Part / RTS Code: Displays the part number / RTS code concerned.

Description: Displays the part / RTS code description.

Quantity Displays the part / RTS quantity ordered.

Total price Displays the total price of the WIP line.

Invoice: Displays the WIP invoice number.

Assign: Select to assign the Reason to the WIP line specified.

Tip: To assign a WIP line to the selected reason, click the Assign column for the gridline concerned.

Assigned Lines Grid:

After invoicing the WIP lines concerned are populated in the Assigned lines grid.

Line: Displays the line number within the WIP.

Part / RTS Code: Displays the part number / RTS code concerned.

Description: Displays the part / RTS code description.

Quantity Displays the part / RTS quantity ordered.

Total price Displays the total price of the WIP line.

Invoice: Displays the WIP invoice number.

Reason: Displays the assigned repeat repair reason code.

Selecting Repeat Repair When Creating a WIP

When loading a vehicle on the WIP and a previous visit is detected, it is possible to select a repeat repair for this vehicle.

To select repeat repair when creating a WIP:

  1. Click Point of Sale > Point-of-sale > select the Parts or Service option > enter your Operator ID and load a vehicle on the WIP.

  2. If a previous workshop visit is detected, do one of the following (a or b):

    1. Click OK in the Previous visit detected. Is this a Repeat Repair? message.

    2. Select Confirm in the Repeat repair field of the Customer and Vehicle Information form and click the Exit toolbar button.

    The Repeat Repairs Maintenance form is displayed.

    Tip: No WIP lines are available, because there are none on the WIP yet.

  3. Select a Reason from the list, and, click the File > Save menu bar command, or click the Save Save.gif toolbar button.

    It prepares the repeat repair reason for assignment to the WIP line and returns you to the Point-of-sale form.

Selecting Repeat Repair For an Existing WIP

When a WIP is already created you can set the WIP as repeat repair, when it was not detected automatically, or, when the repeat repair was previously ignored and this should be corrected.

To select repeat repair when creating a WIP:

  1. Click Point of Sale > Point-of-sale > select the Parts or Service option > enter your Operator ID and the WIP required.

    The Point-of-sale form is displayed.

  2. Click the Options tab and select the Repeat repair field.

    The Repeat Repairs Maintenance form is displayed.

  3. Select a Reason from the list, and, click the File > Save menu bar command, or click the Save Save.gif toolbar button.

    It prepares the repeat repair reason for assignment to the WIP line and returns you to the Point-of-sale form.

Assigning a Repeat Repair Reason to a WIP Line

When a repeat repair is set for an existing WIP you can assign the reason to a WIP line (during invoicing).

To assign a repeat repair reason to a WIP line:

  1. Click Point of Sale > Point-of-sale > select the Parts or Service option > enter your Operator ID and the WIP required.

    The Point-of-sale form is displayed.

  2. Complete the labour and part lines required for invoicing.

    Tip: Set the lines on hold for which you do not want assign a repeat repair reason or for which you want to assign a different repeat repair reason.

  3. To print the invoice, click the File > Action menu bar command and click the INVOICE Print button.

    The Repeat Repairs Maintenance form is displayed.

  4. Make sure the Reason is selected and click the Assign column for the WIP line(s) required.

  5. Click the File > Save menu bar command, or click the Save Save.gif toolbar button.

    The WIP is closed and the Point-of-sale form is displayed.

Note: It is not possible to assign more than one repeat repair reason during invoicing of a WIP. After lines have been invoiced it is not possible to un assign the lines anymore, also not by clearing the Repeat Repair field on the Options tab of the Point-of-sale form.

Notes Form

Notes: Enter note text regarding the repeat repair WIP.

Buttons:

OK: Accepts the entered notes.

Cancel: Cancels the entry of notes.

Legend Form

Style Grid:

Labour: Determines the text colour in relation to the WIP labour lines.

Part: Determines the text colour in relation to the WIP part lines.
