Advising Vehicle from Stock / Assign Quote to Stock Vehicle

This form is displayed from various modules in Autoline, for example, when you click:

  1. Advised Vehicle from Stock is called from Vehicle Stock Books (VSB).

  2. Assign Quote to Stock Vehicle is called from Showroom Enquiries.

Advised Vehicle from Stock Form

The Advised Vehicle from Stock function is used in Vehicle Stock Books. When a quote is accepted, a list of existing vehicles in VSB is displayed. Afterwards it is possible to select a VSB stock vehicle and link it to the quote.

This form is displayed when you click Vehicle stockbooks > Accept customer orders > select an order (new or used vehicle) to compare it with a vehicle from stock and click the Stock search findsearch.gif or Tools > Stock search menu bar command.

Assign Quote to Stock Vehicle Form

The Assign Quote to Stock Vehicle function is used in Showroom. When a quote is created, it is possible to match it to a stock vehicle and attach this stock vehicle to the quote if the vehicle specification of both matches. The Attach menu option is only available if there is no stock vehicle assigned to the quote.

This form is displayed when you select menu option Vehicle Stock Record and then Attach on the Showroom Enquiries form.

When assigning a stock vehicle to a quote, a list of available and similar stock vehicles is displayed to the right side of the form. The left side of the form displays the quote information you want to match against a stock vehicle. To find the correct stock vehicle to match to the showroom quote, it is possible to set a filter on colour, trim and/or option codes. To set a filter, select the option you want to filter on or select menu option Filter All if you want to filter on all options/vehicle colour/trim. The item(s) will then be displayed in blue.

Quoted Vehicle:

The Quoted vehicle area details the vehicle as detailed within the Showroom quotation.

Stock book: Displays 0 as no vehicle is created in vehicle stockbook.

Order reference: Displays the vehicle order number.

Oder date: Displays the date of quotation order.

Customer name Displays the name of customer associated with the quotation.

Invoice name: Displays the name of customer for invoicing.

Status: Displays the status of quotation.

Progress: Displays the progress of quotation vehicle.

Franchise: Displays the quotation franchise.

Model: Displays the quotation model.

Variant: Displays the quotation variant.

Description: Displays the description of quotation vehicle.

Fuel: Displays the vehicle fuel type.

Colour: Displays the colour of quotation vehicle.

Trim: Displays the trim of quotation vehicle.

Specification: Displays the specification requirement of quoted vehicle. There can be up to 80 different analysis specifications.

Suggested Stock Vehicles:

The Suggest Stock Vehicle area lists by vehicle details of the vehicles that are available and in stock.

A vehicle is suggested when the franchise, model and variant are the same as in the quoted vehicle.

If no specific customer exists for the vehicle in the vehicle stockbooks; the Order reference, Order date, Customer name and Invoice name are empty and different form the quoted vehicle.

Note: Specification details that match the required Quoted Vehicle are marked with a green tick Tick.gif, specification details that do not match the required Quoted Vehicle are marked with a red cross Cross.gif.

At the start of each Suggested vehicle there is a check box which when selected activates the Assign Vehicle Import3.gif toolbar button and File > Assign selected vehicle menu bar command.

Stock book: Displays the stock book number.

Order reference: Displays the vehicle order number.

Oder date: Displays the date of the order.

Customer name Displays the name of customer.

Invoice name: Displays the name of customer for invoicing.

Status: Displays the status.

Progress: Displays the progress of vehicle.

Franchise: Displays the franchise.

Model: Displays the model.

Variant: Displays the variant.

Description: Displays the description of the vehicle.

Fuel: Displays the vehicle fuel type.

Assigning the Selected Vehicle

Assigning a vehicle causes:

Note: Be aware that the customer can get a vehicle different from that he ordered via changed specifications.

To assign the selected vehicle:

  1. Select via the check box at the start of the vehicle in the Suggested Stock section.

    The Assign Vehicle Import3.gif toolbar button and File > Assign selected vehicle menu bar command is made available.

  2. Click the Assign vehicle toolbar button Import3.gif or click the File > Assign selected vehicle menu bar command.

    Assigns the customer quotation to the selected suggested stock vehicle.

Unlinking the Current Vehicle

Unlinking a vehicle causes:

To unlink the current vehicle:

    If a stock vehicle is already assigned to a customer quotation the Unlink vehicle toolbar button is made available.

  1. Click the Unlink vehicle toolbar button or click the File > Unlink current vehicle menu bar command.

    Disconnects the customer quotation from the suggested stock vehicle.
