Find Account Code

Performs a search for the required Sales Ledger account code to be used within the new booking/agreement.

Tip: Although the search will ultimately return the required account code, the system can perform the search via the appropriate CRM Company or Customer files and retrieves the associated SL Account code. The search is typically carried out using the CRM Company option.

To find an account code:

1. From the Master Menu, select the Vehicle rentals option and Company required.

   The VEHICLE RENTALS Menu is displayed.

2. Select the Reservations option.

   The Reservations and Availability form is displayed.

3. Select the icon.

   The New Agreement form is displayed.

4. Select the button immediately to the right of the Account Code field.

   The Find Account Code form is displayed.

This form is divided into three parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Find Account Code Dialogue Box

The Find Account Code dialogue box contains the following fields:

Search: Enables entry of up to three separate words (each word must be over 3 characters in length) to locate the required SL Account. These words will be from the company, name, address, postcode, telephone number fields i.e. enter sufficient information to create the most efficient and exclusive search possible.

SL Account / CRM Company / CRM Customer: A series of three mutually exclusive option/radio buttons that determine whether the word search is to be performed against the Sales Ledger account file, the CRM Company file or the CRM Customer file.

Show All CRM Results: A checkbox which, if ticked, then when a search is performed down the CRM Company file the system returns all records that meet the appropriate criteria. If this checkbox is left unticked (the default value) then only CRM Company records that have an attached Rental Company record (MK.drcom) are displayed.

COMMAND BUTTONS:

OK: Confirms the search criteria and selected search path and performs the search for the appropriate record(s).

Cancel: Returns to the New Booking form without performing an account code search.
