Rental Agreement (Drivers Tab)

To access the Drivers Tab:

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The VEHICLE RENTALS Menu is displayed.

  2. Select the Reservations option.

    The Reservations and Availability form is displayed.

    Select the New icon.

    The Rental Agreement form is displayed;

    Select the Drivers Tab.

Drivers Tab

The Drivers Tab is the second tab within the rental agreement form. This form is used to view, edit or delete any drivers that are allocated against the vehicle and is also used to display the associated insurance details (be it Drivers, Ours or Company's. The following fields are contained within this form.

The driver's grid allows up to 10 drivers to be allocated against the agreement. Drivers are viewed, added or deleted via the Create/Amend Driver form.

Driver Name: This field is derived from the Surname, Forename and Title fields within the Create/Amend Driver form.

Tip: The first driver within the grid is classed as the primary or Main driver (denoted by the M in the first column of the first row.

Telephone: This telephone number of the driver (from the Telephone field within the Create/Amend Driver form).

Licence: The full driver's licence number (from the Licence Number field within the Create/Amend Driver form).

Expiry: The expiry date of the licence, calculated from the licence Start Date (from the Expiry Date field within the Create/Amend Driver form).

C: A flag which, if ticked, denotes that the driver is classed as casual i.e. the Casual checkbox within the Create/Amend Driver form is ticked to inform the system that the driver details are not to be saved back to the CRM module as a target record but simply held against this agreement only.

Insurance: The insurance flag to denote whose insurance is to be used for the agreement. The drop-down-arrow button to the right of the field displays the three available selections:

Company's: Used to denote that the insurance of the company hiring the vehicle is to be used for the agreement.

Tip: If Company insurance is selected then the system validates that company insurance details exists against the on the General Tab of the Marketing Company Record in the Rental Details form (drcom record). If the appropriate details do not exist then the rental agreement cannot be progressed.

Driver's: Used to denote that the insurance of the driver hiring the vehicle is to be used for the agreement.

Tip: If Driver insurance is selected then the system validates that driver insurance exists in the Customer's own insurance details group box against the General Tab of the Marketing Customer Record in the Rental Details form (MK.drive record). If the appropriate details do not exist then the rental agreement cannot be progressed.

Our's: Used to denote that the rental company's own insurance is to be used for the agreement.

Tip: Selection of this insurance type automatically generates a CDW charge within the Prices Tab of the agreement.

Insurance co name: The name of the insurance company from the company or driver record.

Insurance contact: The name of a contact at the insurance company from the company or driver record.

Telephone number: The telephone number of a contact at the insurance company from the company or driver record.

International: A checkbox which, if ticked, denotes that the insurance is valid for international hire. This information is taken from the Allow int'l hire? field in the Driver Rental record (MK.drive)

Policy number: The insurance company's policy number (taken from the company or driver record).

Cover note: The insurance company's cover note number (taken from the company or driver record).

Note: For insurance purposes either a policy number or cover note is required for the rental agreement to proceed.

Expiry date: The expiry date of the insurance policy taken from the company or driver record). This information is important. If the insurance expires within the the rental agreement hire period dates then a warning message is displayed and the system does not allows the agreement to be progressed.

COMMAND BUTTONS:

Amend: Opens the Create/Amend Driver form so that the current driver details may be edited.

New Driver: Opens the Create/Amend Driver so that a new driver record may be created.

Delete: Opens the Create/Amend Driver so that an existing driver record may be deleted.

Main: Makes the currently selected (highlighted) driver record the main driver; the driver record is moved to the first row of the grid and the system prompts to Update Invoice Contact Details? with the new driver address (the Yes or No command button should be selected as required).
