View overview of Service Date Pop-up Process
In Vehicle Rentals and Incident Management there is a requirement to see vehicle dues dates in the form of a pop-up to show the due dates of service items when the vehicle is allocated to a booking or a new incident is raised on a vehicle. When a registration is selected a pop-up form shows warnings and due dates for MOT, RFL, Tacho, Crane, PMI and Vehicle Warranty.
When an MOT, Tacho, Crane and RFL is due to within 1 month then this fact is highlighted. When a PMI is due within 2 weeks this is also highlighted. When a vehicle is within warranty then the pop-up form advises the user that the vehicle is under warranty.
Set Service Date Pop-up Process Parameter
The Service Date Pop-up process is enabled by ticking-on the Service Date Pop-up checkbox in the General 3 Tab of System Parameters. This enables all of the following functionality.
The service Dates form is displayed in the form of a grid which contains an Operation code column (e.g. MOT date) and a Next date column as to when that operation is to be carried out. There is also a table header at the top of the grid to display appropriate Warranty details e.g. Vehicle Warranty has expired.
The dates that are used to hold the next event dates are derived from the vehicle dates form in CRM. This allows 5 standard events plus 5 user-definable events. A decision is required as to which additional operations are to be used for each of the 5 user-definable slots. These would become standard additional operations.
The warranty dates that are checked are the standard Manufacturer Warranty date or the Extended Warranty end date (if applicable) as held within the CRM Vehicle Warranties Tab.
Service Date Pop-up at Allocation
When a vehicle is allocated to a booking in rentals, the system validates all the service and warranty dates for the CRM Vehicle and displays all dates that have a next date associated with them in the form of a pop-up grid. If the Inspection date is within 2 weeks of the off-site date of the rental agreement or any others are within a month of that date then each of the applicable operations and dates are highlighted. They are also highlighted in a bold red colour if they are overdue (i.e. before today's date).
If the vehicle is still within warranty then a message is displayed in bold in the table header at the top of the grid informing the user that the vehicle is still within either warranty or extended warranty. It also shows the greater of either the warranty or extended warranty date. The message reads Warranty exists on this vehicle. Expires DD/MM/YYYY (where DD/MM/YYYY is the greater of warranty or extended warranty date).If the warranty has expired then the message Vehicle warranty has expired is displayed.
Those events that do not have a next date are not shown as they will not be relevant to this vehicle.
The user can review the dates and then select the OK command button to continue and carry on with the booking.
Subsequent Review of Service Date Form
Following the pop-up of the service dates form during vehicle allocation, a Services option is now available within the Admin menu of the rental agreement. When this option is selected then the Service Dates pop up form appears exactly as it does during the Allocation stage. The date that is used to determine highlighting is the greater of today's date or the agreement off-site date (DR.agree.OFFSITE).
Service Date Pop-up in Incident Management
Exactly the same process occurs when a vehicle is attached to an incident within Incident Management. A new button is also available within the main incident event screen called Services. Once this button is selected then the pop-up form appears. The date that is used to determine highlighting is today's date.
Service Scheduling update of CRM Service Dates
To ensure that the operation dates above are kept up to date service scheduling has been enhanced. The service Schedule Template Item has been modified to include 10 new tick boxes under the Update CRM Operation Dates Group Box. A tick in one of these ten checkboxes denotes that when this service item is completed the system updates the corresponding (out of ten) vehicle operation date in CRM.
