SCHEDULE TEMPLATE ITEMS MAINTENANCE

Overview

The Service Schedule functionality enables service routines for vehicles and associated operating components (refridgerated units, etc) to be defined. Once defined the relevant programs can be scheduled against individual vehicles, vehicle groups or customer groups. The service schedules can be amended on an individual basis if necessary.

The Schedule Template Items Maintenance form is accessed via Vehicle Administration / Service Schedules / Service Schedule Templates / Template Items Maintenance and is used to create, edit and delete service schedule template items which detail the action, occurrence and frequency of servicing activity.

One or more schedule item records may be linked to one Service Schedule Template Header.

Tip: One Template Item holds up to 20 Reason Codes to allow the easy creation and maintenance of, for example, a 10,000 mile service cycle of S10, S20, S30, etc from the single template item.

The form is split into three areas. These are the Titlebar, the Schedule Template Items Maintenance Dialogue Box and the column of Command Buttons down the right-hand side of the form.

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

To create a new Schedule Template Items Maintenance code type select the Create Command Button.

The cursor is located in the Group Code field prompting selection of a Service Schedule Template Header/description to which the schedule item is to be linked for the purposes of editing an existing record. A single-left-click of the ellipsis button to the right of this field displays a Service Schedule Template Headers List Box that enables selection from the current available template headers. Having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Schedule Template Items Maintenance form.

A single-left-click of the [...] button to the right of this field displays a Reasons For Repair List Box that enables selection of items from existing Reason For Repair service item (RTS) codes to be attached a Service Schedule Template Header. Having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Schedule Template Items Maintenance form.

Tip: A number of Schedule Item Reasons may be linked to one Schedule Template Header.

Note: A schedule item may be generated for a service interval determined by odometer reading, time or both. The selection is determined by the fields below:

There are a number of odometer measurement types that may be applicable to a vehicle or specification item that measure various usage types. The following codes are current available types:

The odometer reading for when the first occurrence of this schedule repair item is due.

The odometer interval for when each successive occurrence of this schedule repair item is due.

Note: If a Schedule Item Reason is selected that contains a number of successive occurences then these occurrences are populated within the Schedule Item Reason Grid at the bottom of the form at the appropriate unit interval.

An estimated value for the number of hours within a schedule day. This value is then used to determine the correct dates for schedule items.

There are a number of time measurement types that may be applicable to a vehicle or specification item. The following codes are current available types:

As an alternative to a unit interval a schedule service repair item may have a time interval. In this case, this field contains the time (in days, weeks or months) for when the first occurrence of this schedule repair item is due.

The time interval for when each successive occurrence of this schedule repair item is due.

Note: If a Schedule Item Reason is selected that contains a number of successive occurences then these occurrences are populated within the Schedule Item Reason Grid at the bottom of the form at the appropriate time interval.

A Y/N field. A Y denotes that a certificate is required for this service schedule item e.g. MOT, Inspection Schedule, etc.

A Y/N field. A Y denotes that a the schedule item is an MOT event. For MOT type scheduled events the system validates the Next MOT date field.

The following completion priority codes (for reporting purposed only) are currently available for denoting the urgency of the service schedule item:

Update CRM Operation Dates

To ensure that the operation dates above are kept up to date service scheduling has been enhanced. The service Schedule Template Item has been modified to include 10 new checkboxes. A tick in one of these ten checkboxes denotes that when this service item is completed the system updates the corresponding (out of ten) vehicle operation date in CRM. These dates are then subsequently displayed in the Service Dates pop-up form process.

Each Reason for Repair code attached to the Service Schedule Template Header Group Number becomes a Service Schedule Item and is displayed within the Service Schedule Item Grid. The grid only displays the first 20 items in the calculated schedule but the events themselves will continue for the length of the agreement (the full schedule can only be viewed when applied to a vehicle). The following details are displayed for each Service Schedule Item:

Tip: Once the schedule is built the Reason column may be revisited and edited for alternative reason codes via the [...] selection button. For example, the Schedule Items may have been generated for successive occurences of a Service. However, once the schedule pattern is generated, the Reason code may then be edited to define the importance of the service e.g. A, B, C types of service, etc.

A RepGen report can be written that accesses this flag and the number of days the scheduled service is due which may prompt urgent contact with the driver of the vehicle.

Command Buttons

A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Exits the Schedule Template Items Maintenance form and returns to the Service Schedules Menu.

Provides online access to a context sensitive Help form.

Enables the creation of an additional Schedule Template Items Maintenance. Mutually exclusive option buttons allow this to be done in one of the two following ways:

Used if a new Schedule Template Items Maintenance code is to be set-up without utilising existing criteria.

Copies the values within an existing "nearest match" Schedule Template Items Maintenance code so that only required values need be edited.

Provides the facility for editing the set-up options of the current Schedule Template Items Maintenance record. No edits can be made to a record until the Amend button has been selected.

Deletes the currently selected Schedule Template Items Maintenance code record.

On first accessing the Schedule Template Items Maintenance form this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.

On first accessing the Schedule Template Items Maintenance form this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.

This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK"

Selection of this button displays a further form that provides an Ad-hoc Report Generator for the creation of quick query reports to form.

Selection of this button displays a further form that provides an itemised display of all the selection criteria for the current Schedule Template Items Maintenance code record.
