This form is displayed if the Vehicle damaged checkbox is selected in the Finish Rental form; then on selecting the OK command button this form is displayed and sent to the specified Damage email recipients (in the General 5 Tab of System Parameters).
Note: This functionality is only enabled if the Damage Notification checkbox is selected in the General 5 Tab of System Parameters.
To access Compose Message:
From the Master Menu, select the Vehicle rentals option and Company required.
The VEHICLE RENTALS Menu is displayed.
Select the Reservations option.
The Reservations and Availability form is displayed.
Select the icon.
The Open Agreement form is displayed.
Select an agreement that is off-hired and ready to be finished.
Select the
icon and the Finish Rental form is displayed.
Tick the Vehicle damaged checkbox in the form and select the OK command button.
This form is divided into four parts that are as follows:
Title Bar
In addition to displaying the form name the Title Bar displays other useful identification criteria and buttons.

Compose Message Dialogue Box
Enables the email recipients, subject and contents to be determined. Theis form contains the following fields:
To: Primary recipient of the email. The default value for this field is defined in the Damage email recipient 1 field in the General 5 Tab of System Parameters. This field may be overtyped or added to.
CC: Secondary recipient of the email. The default value for this field is defined in the Damage email recipient 2 field in the General 5 Tab of System Parameters. This field may be overtyped or added to.
Subject: Subject matter of the email (this defaults to Damage Notification.
Attachment: Displays the filename of the attachment (if applicable).
Contents: Contents of the email. The contents of the email is defaulted-in but may be overtyped or added to. The default contents is as follows:
Registration number Y531GAF 1.6 TS Turismo 3Dr on agreement number 590 returned to [Company name] has been returned damaged. Damage text on return of vehicle: Damage to offside light. Please check the agreement.
Note: Thw vehicle, agreement, location and damage descriptions are applicable to the agreement that is being finished at the time.
