The format Stationery module may be set up so that printed documents may be archived. The documents produced are stored on disk for a specified period of time. By using the Document Retrieval function these documents can be recalled and either sent to a printer or faxed to the appropriate destination.

The Document Retrieval form is split into three areas. These are the Titlebar, the Document Retrieval Dialogue Box and the column of Command Buttonsat the bottom of the form.

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Document Retrieval Dialogue Box

This form displays a number of areas enabling the location, retrieval and output destination for the selected document(s). These fields are as follows:

Two mutually exclusive option buttons prompting selection from the following:

Single Document

Prepares for the printing of a single document.

Range of Documents

Prepares for the printing of a range of documents.

Presents a selection of four search field options. These search fields match the fields set up in the archive option of the stationery format. The following options may be presented, for example:

Unique Reference

Registration Number

Reference 2

Repairer Code

Approval Number

Word Search

The content of this area is dependent upon the option selection within the Methodarea.

If Single Document is selected within the Method field then a single Find Documentcommand button is displayed here. This presents a search form prompting for the value of the Sequence selected. For example, if Registration Number sequence is selected then the search form prompts for a registration number.

The search form displays a search form that enables choice from the available records for the selected Sequence. The cursor is located in the search field. Key part or all of the selected Sequence type and select the Search String command button. Documents matching the entered criteria are displayed and, having selected the required document by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Document Retrieval form.

If Range of Documents is selected within the Method field then two command buttons are displayed here.

The Find First Document command button presents a search form prompting for the value of the "first" of the selected Sequence in the range. For example, if Registration Number sequence is selected then the search form prompts for the first registration number in the range .

The search form displays a search form that enables choice from the available records for the selected Sequence. The cursor is located in the search field. Key part or all of the selected Sequence type and select the Search String command button. Documents matching the entered criteria are displayed and, having selected the required "first" document by highlighting with the mouse, the OKcommand button is used to confirm this selection and return to the Document Retrieval form.

The Find Last Document command button presents a search form prompting for the value of the "last" of the selected Sequence in the range. For example, if Registration Number sequence is selected then the search form prompts for the last registration number in the range.

The search form displays a search form that enables choice from the available records for the selected Sequence. The cursor is located in the search field. Key part or all of the selected Sequence type and select the Search String command button. Documents matching the entered criteria are displayed and, having selected the required "last" document by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Document Retrieval form.

Once the record is found and selected this optional text line may be completed. This line of text appears on all documents printed. Leave blank if no extra text is required.

Presents a series of mutually exclusive option buttons which allow a selection of printers at which to direct the selected document:

Archived Printer

Prints the document to the same printer that was used when the document was originally printed.

Current Printer

Prints the document to the currently selected printer.

Other Printer

Enables redirection of the document to an alternative printer.

Presents a series of mutually exclusive option buttons which allow a selection of output types at which to direct the selected document:

Printer

Prints the document on the previously selected printer.

Display

Enables the document to be displayed on the form prior to being printed.

KPrint Viewer

Enables a document printed using a KPrint form to be displayed to the form.

Command Buttons

A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Process the selected choices and prints the document to the selected output type.

Exits the Document Retrieval form and returns to the Maintenance Control Main Menu.

Provides online context-sensitive help.

Resets the current selection criteria so alternative choices may be made.
