CREATE CONTRACT (RENTALS FORM)

Overview

This enables a new agreement record to be created. The contract may be created manually (via a manual input wizard) or by importing an existing quotation from the Kestrel Quotation system (FQ).

To access the create contract option:

  1. From the Master Menu, select the Fleet Kompact option and Company required.

    The Kestrel Kompact Menu is displayed.

  2. Select the Contract Management option.

    The Contract Management form is displayed.

  3. Select the open2.gif icon.

    The Create Contract form wizard is displayed so that a new agreement may be created by way of either an existing fleet quotation or manual input.

    This is the fourth form to be displayed within the wizard sequence.

Create Contract (Rentals) Dialogue Box

The Create Contract (Rentals) Dialogue Box contains the following fields:

Rentals

1st Product Split (Finance): Displays the description and values for the first product split. (Also displays the VAT method - for example, Standard.

Description: Displays the first product split description (typically Finance)

VAT: Displays the first product split description (typically Finance)

Initial: Displays the first product split initial rental value.

Regular: Displays the first product split regular rental value.

2nd Product Split (Service): Displays the description and values for the second product split. (Also displays the VAT method - for example, Standard.

Description: Displays the second product split description (typically Service)

VAT: Displays the second product split description (typically Finance)

Initial: Displays the second product split initial rental value.

Regular: Displays the second product split regular rental value.

Note: This grid can hold up to six lines of product splits for example, Insurance, etc. Lines are only displayed if the product split is applicable. The product split description, initial rental and period rental values are displayed for each line.

Budgets

This table provides a breakdown of the Budget costs for each of the default Product Options for the selected Product Type chosen in the agreement.

Description: Budget description for example, Maintenance.

Budget: Total budget value over the period of the agreement.

Period: This field cannot be edited. It is automatically calculated by the system by dividing the Budget total by the number of periods within the contract.

Other Budgets

This table provides a breakdown of the other elements of the agreement as follows:

Interest: Total interest to be paid over the period of the agreement.

Depreciation: Monetary amount the vehicle depreciates over the period of the agreement.

Depreciation: Selection of this icon displays the Depreciation Template form that enables a default stepped Depreciation Template (for the selected vehicle variant) to be viewed or modified (depending on User Permissions.

Overheads: Any additional overhead costs that are to be included within the agreement.

Profit: Total profit contained within the agreement.

Summary

Total Rentals: Total value of rental payments over the period of the agreement.

Total Budgets: Total value of all budgets.

Total Costs: Value of the Total Budgets field plus Other budgets (for example, Interest, Depreciation, Overheads, Profit, etc).

Balance: Total Costs values must equate to the Total Rentals values and therefore balance the Balance field to zero.
