The Contract Search form is utilised to locate, select and open a particular agreement record by way of a number of alternative selection criteria methods.
From the Master Menu, select the Fleet Kompact option and Company required.
The Kestrel Kompact Menu is displayed.
Select the Contract Management option.
The Contract Management form is displayed.
Select the icon.
The Contract Search form is displayed.
This form is constituted of four elements, which are as follows:
In addition to displaying the form name the Title Bar provides a number of useful buttons.
The Global Search dialogue box consists of two tabs which contain a number of selection criteria fields that may be used individually or in conjunction with each other in order to locate the required agreement. Entering a search string into one or more of the fields reduces the number of contracts that are displayed on the form from which to select. Use of the search facility sometimes requires replacement of the default question marks with correct data. The question marks act as "wild card" characters i.e. any particular question mark may denote any numeric or textual character.
General Tab
This Tab enables a search to be conducted on various basic vehicle/agreement selection criteria.
Registration: If known, all or part of the registration number of the vehicle may be entered directly into this field
If the registration number of a vehicle is known to be R548NRX, then simply R548 may be entered into the registration number field. All the remaining fields are left to contain ???. Following selection of the Search command button only a list of vehicles where the first 4 characters of the registration number is equal to R548 are returned to the form.
This procedure is true of all fields containing question marks.
Customer: The contract search routine can limit the search to a specific customer only (by entering a company code within this field); all customers (by leaving the question marks in place within this field); or, a number of customers (by using the question mark wild cards - e.g. FRE????? would find all customers whose name begins with FRE.
Selection of the
button immediately to the right of this field presents a Company Search form that enables an existing company record to be found. This field is particularly useful in conjunction with other selection criteria fields.
Status: Clicking the
button for this field produces a drop-down list displaying the various contract statuses:
All
Quoted
Accepted
Order in Progress
Order Invoiced
Live
Suspended
Terminated
Closed
Clicking on the required option enters the appropriate status into the dialogue box. A search is performed on these criteria. e.g. If Lis entered the system displays all "Live" contracts.
Driver Name: The name of the driver currently associated with the vehicle may be entered here.
Vehicle: Part of the vehicle variant description imported from the default data source may be entered here.
Chassis Number: If known, all or part of the chassis number of the vehicle may be entered directly into this field to assist in the vehicle search.
Tip: If you type in a space (press the spacebar once), followed by a variable number of characters into the chassis number, the Kompact module calls the CRM vehicle search functionality which enables a "contains" search. This allows a search, for example, on the last five or six characters of the chassis number (regardless of how many characters the chassis number contains).
Advanced Tab
This Tab enables a search to be conducted on various advanced selection criteria.
Sales Account: If known, all or part of the Sales Ledger account code may be entered directly into this field.
Engine Number: If known, all or part of the engine number of the vehicle may be entered directly into this field to assist in the vehicle search.
Used: A checkbox which, if ticked, denoted that a search is to be carried out for "used" vehicles only.
Not Ordered: A checkbox which, if ticked, ensures that only those vehicles with a status of Quoted or Accepted are displayed i.e. not yet ordered.
Section Display
Once the required selection criteria is entered, the Selection Display section of the form displays all agreements meeting the selected criteria and provides the following data:
Reg No: The vehicle registration number e.g.X807UVW
Number: The agreement number to which the vehicle is attached e.g. 100487.
Product: The Product Code for the agreement e.g. CHWM.
Customer: Displays the company code of the customer attached to the vehicle.
Vehicle Description: The full vehicle variant description imported from the default data source.
Driver: Displays the name of the driver target record currently associated with the vehicle.
Start Date: The agreement start date.
Status: The current status of the agreement e.g. Lfor "Live".
Used: A tick in this column denotes a "used" vehicle.
If the List Box contains more vehicles than the box can display, the form presents a Scroll Bar which is operated in a number of ways:
Option Buttons
Backwards: Displays the results of the Contract Search in reverse alphanumeric order. For example, if the search is carried out on the registration number field then a registration number starting with X807 is displayed before a registration number starting with X796.
Forwards: Displays the results of the Contract Search in alphanumeric order. For example, if the search is carried out on the registration number field then a registration number starting with X796 is displayed before a registration number starting with X807.
Command Buttons
A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:
Exit: This command button exits the Contract Search form and affects a return to the previous form.
Search: This command button is used to confirm the required vehicle search criteria and proceed with the agreement search.
Reset: This command button initialises any selection criteria that have been entered.
Help: Displays online context-sensitive help using the default browser.
