ADDRESS GROUPS (REPAIRER TAB)

Overview

Accessed via Address Management and selection of the Repairer Tab.

Selection of the Repairer Tab gives access to the repairer sub-record which determines certain defaults and parameters for this address group if it provides maintenance and servicing facilities. The record sets accounts codes, service levels, franchises and various labour rates and discounts.

This sub-record is not normally set up for a standard customer address group record. Where a repairer sub-record is required the address group is devoted to the supplier, and none of the other sub-records are set-up except in instances where the repairer is also a vehicle supplier.

If the repairer record for this address group does not exist then following selection of the Tab the system prompts:  Repairer Sub-Record does not exist. Create? The Yes or No command button is selected as appropriate.

Repairer Tab Dialogue Box

The Repairer Tab Dialogue Boxcontains two groups of data which are General and Franchises Operated

General

The purchase ledger account used when this address group is selected for Maintenance approvals or repair analysis. It is also used during the search procedure for a maintenance repairer. When issuing an authorisation the system only allows selection of accounts which have an entry in the repairer section of the address group .

This code may be keyed directly, if known (e.g. C0010 ), or the ellipsis button (...) immediately to the right of this field initiates a Supplier Accounts Search that enables selection from the current available PL account codes. The cursor is located in the search field. Key part or all of the required supplier account shortname (e.g. CUBB - this must be in the correct case) and select the Shortname command button. Accounts matching the entered criteria are displayed and, having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Repairer Tab .

This field provides an opportunity to enter a short name for the repairer for easy reference at a later stage. Up to eight characters may be input. Care should be taken because the code is case sensitive.

The area code is a user definable field. The area codes are set up using the Repairer Areasoption within Maintenance Control / Miscellaneous Options. They are normally geographical areas, although they may be used to categorise repairer records in other ways.

This code may be keyed directly, if known (e.g. HX-Halifax), or the ellipsis button (...) immediately to the right of this field initiates a Maintenance Areas Searchthat enables selectionfrom the current available codes. Having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Repairer Tab. The scroll bar to the right of the form may be used to locate area codes which cannot be immediately displayed within the first eighteen codes on the initial page.

A two digit numeric code to denote repairer quality level between 1 and 10. This serves as a good indication of whether the selected record is a preferred repairer or just one that is used by a few drivers due to lack of local choice.

A checkbox which, if ticked, denotes that the repairer is part of the group organisation. As such invoices generated are non-Vatable.

This flag is a memo only item. A checkbox which, if ticked, denotes that the supplier is an authorised body shop and can therefore be used within a list of repairers available for accident repairs.

Notes of any extra points about the supplier can be entered here. It is a free text area which allows input of four lines of up to 40 characters.

A checkbox which, if ticked, denotes that the supplier offers a relief vehicle service and that this record may be utilised for short term rentals within the authorisation relief process.

A checkbox which, if ticked, denotes that the selected supplier offers a Valet Service.

A checkbox which, if ticked, denotes that the selected supplier offers a Courtesy vehicle Service.

A checkbox which, if ticked, denotes that the supplier fits parts for free e.g. if tyres are fitted then the customer only pays for the tyre not the fitting.(Notational)

A checkbox which, if ticked, denotes that the selected supplier is prepared to accept all makes of vehicle for servicing or repair.

A checkbox which, if ticked, denotes that the selected supplier is willing to collect and deliver the vehicles for repairs. 

If the Collect_Deliver? checkbox is ticked above then this field may be used to denote the collection and delivery radius which the selected supplier is prepared to operate.

Franchises operated

Allows for storage of up to five franchise codes so that a list of repairers can be maintained for the various franchises required. The field is for memo purposes only, and the franchise codes are verified against the list of franchise codes held in the Franchise Data module.

A single-left-click of the mouse within this column enables an ellipsis button (...). Selection of the ellipsis button displays a Franchises List Box   that enables the appropriate franchise code (e.g. FO Ford)  to be specified. Having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Repairer Tab . The scroll bar to the right of the form may be used to locate franchise codes which cannot be immediately displayed within the first eighteen codes on the initial page.

The full franchise description (e.g. Ford ) associated with the selected franchise code. This column is populated automatically following selection of the Franchise .

Rates

This field is used to store the basic servicing labour rate.

This field is used to store the normal labour rate for none service work.

This field is used to store the basic bodyshop labour rate.

This field allows entry of the agreed labour discount provided by the supplier.

This field allows entry of the agreed parts discount provided by the supplier.
