BIDS FORM

Overview

Accessed via Vehicle Purchasing / Purchase Management / Bids Tab. This form is displayed when one of the following options is selected:

This form displays the selected bid and enables values to be edited, notes to be held against the bid and the specification to be amended.

This screen is split into four parts that are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of other useful identification criteria and buttons. The Title Bar also displays the Bid Numbere.g. 00775.

Menu Bar

The content of the Bids Form menu bar is dependent upon the particular process that is being accessed. The full menu bar contents, however, are as follows:

Save

Saves any amendments that have been made to the bid expiry date, name and address of supplier, etc, within the bid form.

Delete

Enables the current bid to be deleted. The system prompts Are You Sure you want to delete this bid? Select No or Yes as required.

Exit

Exits the Bids Form and, if values are edited, prompts Bid Changed. Do you want to save the changes? Select the Yes, No or Cancel command button as appropriate.

This menu option provides access to the following options:

Notes

Displays the Bid Notes sub-form which enables selected notes to be held against the selected bid. Five lines of up to fifty character are provided.

Spec Lines

Displays the Specification Form which, in addition to displaying the full vehicle specification for the bid, also allows a number of editing processes to be carried out.

Provides online access to a context sensitive Help screen.

Toolbar

As with the menu bar, the content of the Bids Form toolbar is dependent upon the particular process that is being accessed. The full toolbar contents, however, are as follows:

Exits the Bids Form and, if values are edited, prompts Bid Changed. Do you want to save the changes? Select the Yes, No or Cancel command button as appropriate.

Bid Form Dialogue Box

This area of the screen displays information relating to the selected bid. The following details are displayed:

The date on which the bid was created. This field defaults to today's date and cannot be edited.

The date on which the bid is to expire. This field is derived from the Created date and the No of Days Bid Live field within the Supplier Tab of the selected supplier.

The address group code for the supplier who is making the bid for the order.

The Bid Management Contact target brought across from the Details Tab within the address group for the selected supplier. This field may be amended.

The supplier address brought across from the address group. Five lines of up to 35 characters are provided for input. This field may be amended.

The post code of the supplier who is making the bid for the order. This field may be amended.

The telephone number of the supplier who is making the bid for the order. This field may be amended.

The fax number of the supplier who is making the bid for the order. This field may be amended.

The job title applicable to the associated contact.

The value of the original quotation.

The number of specification lines on the original quotation e.g. 3. This is inclusive of the vehicle itself.

The bid price from the selected supplier. On initial entry to the screen this is the same as the Quote Total. This value may be edited by selecting the icon and selecting the Edit facility within the Specification grid.

The number of specification lines on the supplier's bid e.g. 2. This is inclusive of the vehicle itself.

The manufacturer code for the vehicle in the bid e.g. AL (Alfa Romeo).

The model code for the vehicle in the bid e.g. 145.

The variant code for the vehicle in the bid e.g. AL000194.
