Accessed via Vehicle Purchasing / Purchase Management and selection of the Details 2 Tab.
Following selection of the required vehicle within the Purchase Management screen, the top of the Purchase Management Dialogue Box is populated with a number of fields which contain relatively static information whilst, below, a series of Tabs may now be used to process the vehicle through the various stages of a vehicle order.
The Details 2 Tab enables the review of the marketing, product and franchise data details relating to the vehicle order.
The following details are displayed for review.
The unique sequential magic record number.
The unique address group code attached to the marketing company.
Displays the full marketing company name.
Displays the full marketing company address. There are five lines of address information.
Located beneath the address box is the Postcode field for the marketing company record.
Contains the main company telephone number. The STD code should always be used e.g. 01635 523456;dashes between numbers should not be used.
Contains an alternative work telephone number, utilising the same format as above.
Contains the appropriate fax number, utilising the same format as above. It is extremely important that this is entered, as quotations can now be auto-faxed to the customer on completion.
The unique sequential magic record number for the target record attached to the marketing company.
Displays the full selected target name including title, initials and surname.
Displays the full marketing target address. There are five lines of address information.
Located beneath the target address box is the Postcode field.
Contains the target's home telephone number. The STD code should always be used e.g. 01635 523456;dashes between numbers should not be used.
Contains the target's work telephone number, utilising the same format as above. The second field may be utilised for an extension number.
Contains the target's fax number, utilising the same format as above. It is extremely important that this is entered, as quotations can now be auto-faxed to the customer on completion.
Consists of two fields. The first field contains the contract lease type code. The lease type is a two digit alphanumeric code (e.g. CM) that is created within Fleet System Management / Miscellaneous Options / Lease Types. The lease type is initially selected against the vehicle quotation within the Convert Quote menu option within Fleet Quotations.
The second field contains the full lease type description associated with the lease type code e.g. Contract Hire With Maintenance.
A checkbox which, if ticked, denotes that this rental element within the order is linked to the RPI process which enables the rental to be automatically uplifted in line with the Retail Price Index. The RPI field has been designed so that it can be determined at product element level. The RPI indicator is defaulted-in from the value held in the RPI Column Checkbox within the Product Splits area of Product Detailsscreen (Fleet Quotations / Miscellaneous Products / Product Management / Product Details). The default value may be amended by selection or de-selection of the checkbox.
Note: The Retail Price Indices are held and edited within Fleet System Management / Miscellaneous Options / Retail Price Indices and the Retail Price Index process is run within Contract Administration / Administration Options / RPI Contract Increase.
This is a legacy of the Rev 7system and although a Definition needs to be selected within Fleet system Management it is not used as this is now controlled within the Fleet Quotations product. The lease definition not have to be selected within the quotation itself although Contract Upload prompts for it.
Consists of two fields. The first field contains the lease definition code e.g. A that is created within Fleet System Management / Miscellaneous Options / Posting Controls / Lease Definitions. The lease type is initially selected against the vehicle quotation within the Convert Quote menu option within Fleet Quotations.
The second field contains the full lease definition description associated with the lease type code e.g. Contract Hire With Maintenance.
Consists of two fields. The first field, if applicable, contains the finance house code (e.g. UDT) for the finance house that is funding the agreement. If the agreement is not funded then this field is left blank.
The second field contains the full free-format textual description for the Finance House name e.g. UDT Finance.
This is not the Business Source field held against the marketing company record and viewable within the Quotations screen as the Source field (this source code is used to focus, for analysis purposes, on the original enquiry source for the quotation e.g. REF for "Referral"). The Source Code that may be viewed here is that which may originally be selected within the Convert Quote process within the Quotations module. This Business Source record table is set-up within Fleet System Management / Miscellaneous Options / Posting Controls / Business Sources and allows Balance Sheet and Profit & Loss cost centres to be allocated to the source. This field may be amended via the Change Business option within the Tools menu of Contract Review.
The account code for the Sales Ledger account that is being invoiced for the currently selected vehicle contract. e.g. G0001.
Within the Quotation the Salesman ID may be selected but the quotation actually defaults to the user who is currently logged-in. This is converted and carried across to the agreement.
A checkbox which, if ticked, denotes that the selected contract under review is being funded by a finance house.
A checkbox which, if ticked, denotes that the agreement is brokered through a third party agency. This data originates from the initial quotation.
The Fleet Management code for the type of fleet management deal that is included within the contract. This is accessed by way of Additional Costs within the Fleet Quotations module. Fleet Management types are initially set up within Environment / Quotations / Fleet Management Types.
Displays the full franchise description imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Full Name field (Main Details Tab in the Franchise Details menu option within the Franchise Data module).
Displays the full model description imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Description field (Details Tab in the Model Codes menu option within the Franchise Data module).
Displays the full vehicle variant description imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Descriptions: VSB/SRfield. (Details Page 1 Tab in the Model Variants menu option within the Franchise Data module).
Two fields are provided for display of chosen colour code and description.
Displays the vehicle variant code imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Variant field (Model Variants menu option within the Franchise Data module).
The chassis number of the ordered vehicle.
The engine number of the vehicle.
The trim style supplied to the vehicle.
A checkbox which, if ticked, indicates that the vehicle is VAT qualifying.
