AUDIT EVENT LOG DISPLAY

Overview

Accessed via the primary Quotations form, the purpose of this form is to maintain an audit of changes made to within the primary Quotation or within Vehicle Data Management form.

If an existing quotation is amended then (and the New Quote No on Save checkbox is selected in the General Tab within System Maintenance / System Parameters) a new quotation number is generated. However, each successive edited quotation will always retain the same unique Quote Ref number. An audited log will be kept of each edit by way of this Quote Ref number.

Edits must be saved if they are to be included within the audit display form.

The form is split into four parts, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The contents of the Audit Event Log Display Bar are as follows:

Two options are available here:

Allows an audited log of the quotation to be printed.

Exits the Audit Display and returns to the primary Quotations form.

Selection of this option gives access to a Find routine, which enables a specific quotation/key to be located easily.

Provides online context sensitive help information.

Toolbar

The contents of the full toolbar are as follows:

Exits the Audit Display and returns to the primary Quotations form.

Selection of this option gives access to a Search routine, which enables a specific quotation/key to be located easily.

Allows an audited log of the quotation to be printed.

Provides online context sensitive help information.

Audit Display List Box

Within the primary quotation form amendments to each of the following elements (utilising the appropriate Review and Tools forms, etc) are audited:

A columnar display of the following fields provides an itemised audit log of changes made to the quotation:

A unique record key identifier which is system generated and is dependent upon the part of the quotation which is edited. If, for example, a vehicle has been edited within Multiple Vehicle Selection then the data supplier variant code is displayed; however, if another area of the quotation is edited then the quote number may be displayed e.g. 1937

A coded description of the field, which has been, edited e.g. RV, MNT, etc.

The user login is displayed here identifying which user has edited a particular field.

Displays the date on which the particular field has been edited

Displays the original value generated for the quotation.

Displays the new edited value for this particular field.

Displays the unique quote reference number which links successive edited quotations.

A single-left-click of the mouse on any of the grey column headers enables the sort of that column in ascending or descending order.

A single-left-click of the mouse on any row item within the audit log displays full Audit Details of that edit. In addition to showing all of the above fields (albeit in a slightly altered format), an additional four fields are displayed:

A unique, sequential record identifier, which is system, generated e.g. 1086

Identifies the particular area of the system used to edit the quotation e.g. QUOTE

Identifies a specific operation that is carried out within this particular edit e.g. Setto 3111.00.

As well as displaying the edit date the full Audit Details displays the exact time an edit was carried out e.g. 16.10

The Audit Event Log is also accessible through Vehicle Data Management within Miscellaneous Options.

ALL amendments to any of the elements using the Vehicle Data Management form are audited.

The appropriate variant or variants are selected via the Selection Tab. The Edit Tab should then be selected. The down-arrow button (immediately to the right of the Edit field) is used to display a drop-down list of the various elements of the vehicle that may be edited. The following vehicle elements can currently be edited:

The appropriate element is selected from the drop-down list. A column displaying the value(s) of this element is now displayed to the right of the form. A single-left-click in this column allows the current value to be edited.

Each of these elements is audited and can be viewed by selecting the audit.gif icon.
