The Excess & Under Mileage set-up form is accessed via Miscellaneous Options / Product Management / Excess & Under Mileage and is used to create and edit Excess & Under Mileage Types.
This form is used to create default excess/under mileage values at a global level. These values may be overridden at a customer level (from Marketing / Record Maintenance / Companies Tab / Fleet Details). It may also be overridden at quotation level by selecting the Review Excess/Under Mileage icon directly to the right of the Excess Mileage field.
The figure is either a "calculated" value or a pence-per-mile value set at a relief vehicle category group rate.
The form is split into three areas. These are the Titlebar, the Excess & Under Mileage Dialogue Box and the column of Command Buttons down the right-hand side of the form.
In addition to displaying the form name the Title Bar provides a number of useful buttons.
To view or amend an existing Excess & Under Mileage use the following procedure:
At the top of this tab is a brief explanation of how the two different calculation types are brought into affect.
This display area is divided into two parts:
- Excess Rates
The left-half of this tab displays seven excess rate columns that are as follows:
Group
The Relief Vehicle Hire Group imported from the appropriate data supplier source. Each vehicle variant falls within a particular group and the excess/under mileage values are generated at this level.
Calc
If the 'Calc' column not ticked then rates and break points apply as per grid for actual Pence Per Mile (PPM) rates and break points in mileage intervals. If 'Calc' is ticked the base excess rate is determined by depreciation and maintenance, the additional rates are then used as percentage loading factors."
Rate 1
Contains the first excess mileage rate. If the "Calc" column is not ticked then this column contains a Pence Per Mile (PPM) figure. If the "Calc" column is ticked then the base excess rate is determined by depreciation and maintenance and this column then contains additional percentage loading factors.
Break 1
Contains the appropriate corresponding first mileage-break (i.e. the number of miles above the contracted mileage to which Rate 1 is to be applied).
Rate 2
Contains the second excess mileage rate. If the "Calc" column is not ticked then this column contains a Pence Per Mile (PPM) figure. If the "Calc" column is ticked then the base excess rate is determined by depreciation and maintenance and this column then contains additional percentage loading factors.
Break 2
Contains the appropriate corresponding second mileage-break (i.e. the number of miles above the contracted mileage to which Rate 2 is to be applied).
Rate 3
Contains the third excess mileage rate. If the "Calc" column is not ticked then this column contains a Pence Per Mile (PPM) figure. If the "Calc" column is ticked then the base excess rate is determined by depreciation and maintenance and this column then contains additional percentage loading factors.
A corresponding mileage-break need not be entered as any mileage above Break 2 is assumed.
Loading Point for 'Calc' Method
Beneath the seven Excess Rate columns is an additional field which is used for inputting and displaying the base loading mileage point for the calculated method.
These figures are used to calculate excess mileage money due to the lessor from the lessee.

Loading Point for 'Calc' Method

These figures are used to calculate under mileage money due to the lessee from the lessor.
A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:
Exits the Excess & Under Mileage Details form and returns to the Product Management menu.
Provides online access to a context sensitive Help form.
Provides the facility for editing the set-up options of the current Excess and Under record. No edits can be made to a record until the Amend button has been selected.
On first accessing the Excess & Under Mileage Details form this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.
On first accessing the Excess & Under Mileage Details form this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.
This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK"
Selection of this button displays a further form that provides an Ad-hoc Report Generator for the creation of quick query reports to form..
Selection of this button displays a further form that provides an itemised display of all the selection criteria for the current Excess & Under Mileage record.
