GROUP QUOTATIONS

Overview

Accessed via the Multiple Grid icon from the primary Quotations form, the purpose of this form is to allow several quotes for different vehicles/parameters to be created at one time and saved against one quote number. This could effectively be used to provide a number of rental figures over the phone to a customer during one enquiry.

A grid is provided which allows vehicle selection and main products to take place and then for the quotes to be calculated and collated as a single group of quotes.

The form is split into four parts, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The contents of the Group Quotation Menu Bar are as follows:

Three options are available here:

Enables the Group Quotation grid to be printed only. This option does not produce a multiple quotation output. Individual quotations from the Group Quotation may be printed individually.

Initialises the contents of the current group quotations form so that alternative selections may be made.

Exits the Group Quotation form and returns to the primary Quotations form.

Provides online context sensitive help information.

Toolbar

The contents of the full toolbar are as follows:

Group Quotation List Box

The ellipsis button immediately to the right of this field enables the customer to be selected for the quotation via the WordSearch facility. The company (plus associated target name) is then returned to this field.

Note: The ellipsis search is not displayed if the Group Quotation option is selected from an existing quotation which already holds a customer name.

Tip: Knowledge of the customer allows the system to draw on customer defaults in order to make certain assumptions within the grid to make it's completion a little faster.

The Group number collates the individual quotations into a specific group.

The ellipsis button immediately to the right of this field enables the recall of other quotations that are originally calculated in this manner.

Note: If the Group Quotation option is selected from an existing quotation then the original quotation number is used as the Group number. In this case, the original quotation details are also pulled as the first line of the Group Quotation.

A columnar display of the following fields enables the multiple quotation to be constructed. A new quotation is added to the group by selecting the empty row. Alternatively, an existing quotation may be edited by selecting an existing row.

A single-left-click within this field presents the Vehicle Selection form. This form is utilised to locate and select the appropriate vehicle for the Group Quotation by searching at manufacturer, model and variant level as well as providing a number of additional selection criteria fields.

If a quotation is produced for a vehicle with a price due to change within the period defined within the Notify Price Change +/- field (in the Quotation Defaults Tab in System Parameters) then a pop-up box is displayed after vehicle selection. This box displays the previous, current and next vehicle prices and the required vehicle price may be selected for the quotation.

A single-left-click within this field displays an ellipsis button. Selection of the ellipsis button presents a list of available Product Types (and associated Product codes). e.g. CHWM Contract Hire With Maintenance. A single-click of the mouse highlights and selects the appropriate Product for use within the Group Quotation.

Allows the input of the required contract term, in months, for the quotation. The drop-down-arrow button immediately to the right of this field displays the current available contract terms available for the selected product.

This field determines the frequency of invoiced regular payments to be made within the quoted contract. The down-arrow button accesses a drop-down list displaying the following currently available selections:

This field is in fact dependent upon the top-level default set up within the System Parameters form. If, within the General Tab in System Parameters, the Contract/Ann Mlgfield is set to Annual Mileage then this field/label will display an annual contract mileage value.

Selection of the ellipsis button presents a list of Finance Types. The finance type displays the finance company description and corresponding code (up to 10 characters), which is set up within Miscellaneous Options / Finance Management / Finance Sources. A single-click of the mouse highlights and selects the appropriate finance type for use within the quotation.

The system displays only those profiles which met the criteria entered within the Contract Term and Frequency fields (these fields being referenced against the Period and Frequency fields contained in the finance profile set-up form). The finance profile displays the finance profile description and corresponding code (up to 10 characters), which is set up within Miscellaneous Options / Finance Management / Finance Profiles. A single-click of the mouse highlights and selects the appropriate finance profile for use within the group quotation.

Following selection of the constituent elements of the quotation a single-right-click of the mouse is used to display a mini sub-menu. From the sub-menu selection of the Calculate option is used to calculate the initial rental value that is displayed here i.e. the period rental value multiplied by the number of initial rental months.
