FINAL PROCEDURE

Overview

Accessed by way of the Manual Terminations screen followed by selection of the Final command button.

This form enables the final details of the termination to be completed prior to terminating the vehicle contract and also displays the CAP valuations per Black Book which are stored against the termination. The CAP valuation values are calculated based on the Final Odometer reading.

This form is split into three parts that are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of other useful identification criteria and buttons.

Final Procedure Dialogue Box

The Final Procedures form contains a two tabs and a number of command buttons. The fields contained within the tabs are as follows:

Edit Details Tab

The actual date on which the vehicle was returned. The system defaults the contract end date and if this is edited then the Extra Hire Days field is populated with the additional days.

The calculated Daily rate charged for extra days.

The system defaults the contract end date into the Actual End Date field but if this is edited then this field is populated with the additional days.

The extra hire value for the additional days e.g. Extra Days Rate multiplied by Extra Hire Days.

The final odometer reading for the vehicle contract. The system defaults-in the pro-rated contractual mileage but this can be overridden.

A checkbox which, if ticked, denotes that the Final Odometer reading has been confirmed.

If the Final Odometer is entered and it is greater than the calculated contract mileage then the system automatically calculates the excess distance travelled (although this may be edited).

The excess mileage automatically calculated from the Excess Distance multiplied by the current excess rate.

If the Final Odometer is entered and it is less than the calculated contract mileage then the system automatically calculates the under mileage travelled (although this may be edited).

The under mileage automatically calculated from the Under Distance multiplied by the current under rate.

The date on which the vehicle returns on site.

CAP Values Tab

The following six CAP fields are only displayed if the Use CAP Black Book checkbox is ticked within the Details Tab in Terminations / System Maintenance / System Parameters. The 6 CAP values are displayed as read only. The CAP valuation values are calculated based on the Final Odometer.

The imported CAP Black Book value for vehicles in good condition.

The imported CAP Black Book value for vehicles in average condition.

The imported CAP Black Book value for vehicles in below average condition.

The imported CAP Black Book value for vehicles to be sold at retail value.

The age of the vehicle with regard to the month of production.

The age of the vehicle with regard to the year of production.

Command Buttons

The following command buttons are available within this form:

Accepts the edited values and returns to the Manual Terminations screen.

Returns to the Manual Terminations screen without saving the edited values.

Provides online context sensitive help.
