MAINTAIN PROJECTIONS

Overview

The Maintain Projections form is accessed via Contract Administration / Miscellaneous Options / Maintain Projections and is used to create, edit and delete specified projection ID and parameters (for example, monthly/quarterly, specified lease types or customers, etc). Once the ID and parameters are setup, the following actions are taken:

The form is split into three areas. These are the Titlebar, the Maintain Projections Dialogue Box and the column of Command Buttons down the right-hand side of the form.

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Maintain Projections Dialogue Box

To create a new projections record type select the Create Command Button.

To view or amend an existing projections record use the following procedure:

The cursor is located in the Parameter ID field prompting selection of a parameter ID code/description for the purposes of editing an existing record. A single-left-click of the ellipsis button to the right of this field displays a Projection Parameters search form that enables selection from the current available parameter codes. Select the required code by highlighting with the mouse. The OK command button is used to confirm this selection and return to the Maintain Projections form. If there are more projection parameter codes than can fit on the form then the cursor is located in the search field. Key part or all of the required parameter code and select the Parameter command button. Projection Parameter codes matching the entered criteria are displayed and following selection with the mouse the OK command button is used to confirm this selection and return to the Maintain Projections form.

The projection parameter code is a ten character alphanumeric field.

Contains a number of details relating to the selected projection parameter code, which are as follows:

A thirty character alphanumeric free-format meaningful textual description for the selected projection code.

The month of the selected year from which the projection is to commence e.g. 1.

The year from which the projection is to commence e.g. 2002.

The length of the periods within the projected year. If the Number of Periods field below is set to 12 (i.e. 12 months in the projected period) and this field is set to 1 then the period length is one month.

The number of periods within the projected year. e.g. 12.

The selected agreement for which the projection is to be run.

The agreement number may be entered directly or selection of the ellipsis button (...) immediately to the right of this field presents the Fleet Global Search form that enables an agreement to be found by entering search selection criteria.

The selected lease type for which the projection is to be run.

The lease type code (e.g.CM) may be entered directly or selection of the ellipsis (...) button immediately to the right of this field initiates a Lease Types search. The required code should be highlighted with the mouse and the OK command button used to confirm this selection and return to the Maintain projections form.

If there are more lease types than can fit into the search form, a scroll bar is displayed to the right of the form enabling movement up and down the form to locate the required lease type.

The customer for whom the projection is required.

The address group (e.g. 8POLARFO) may be entered directly or selection of the ellipsis (...) button immediately to the right of this field initiates a Customers search. The cursor is located in the search field. Key part or all of the required address group code and select the Customer command button. Address Groups matching the entered criteria are displayed and, having selected the required code by highlighting with the mouse, the OK command button is used to confirm this selection and return to the Maintain Projections form.

The fleet type for which the projection is required.

The fleet type code is a two digit user-defined code which enables the grouping of Lease Types for reporting purposes.

The code may be entered directly or selection of the ellipsis (...) button immediately to t he right of this field initiates a Fleet Types search. The required code should be highlighted with the mouse and the OK command button used to confirm this selection and return to the Maintain projections form.

If there are more fleet types than can fit into the search form, a scroll bar is displayed to the right of the form enabling movement up and down the form to locate the required fleet type.

The manufacturer for which the projection is required.

The manufacturer code (e.g. HO) may be entered directly or selection of the ellipsis (...) button immediately to the right of this field initiates a Manufacturers search. The required code should be highlighted with the mouse and the OK command button used to confirm this selection and return to the Maintain projections form.

A scroll bar is displayed to the right of the form enabling movement up and down the form to locate the required manufacturer code.

The vehicle model for which the projection is required.

The model code may be entered directly or selection of the ellipsis (...) button immediately to the right of this field initiates a Models search. The required code should be highlighted with the mouse and the OK command button used to confirm this selection and return to the Maintain projections form.

A scroll bar is displayed to the right of the form enabling movement up and down the form to locate the required model code.

Command Buttons

A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Exits the Maintain Projections form and returns to the Miscellaneous Options Menu.

Provides online access to a context sensitive Help form.

Enables the creation of an additional Projections record. Mutually exclusive option buttons allow this to be done in one of the two following ways:

Used if a new Projections code is to be set-up without utilising existing criteria.

Copies the values within an existing "nearest match" Projection code so that only required values need be edited.

Provides the facility for editing the set-up options of the current Projection record. No edits can be made to a record until the Amend button has been selected.

Deletes the currently selected Projection code record.

On first accessing the Maintain Projections form this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.

On first accessing the Maintain Projections form this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.

This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK".

Selection of this button displays a further form that provides an Ad-hoc Report Generator for the creation of quick query reports to form.

Selection of this button displays a further form that provides an itemised display of all the selection criteria for the current Projection code record.
