CREDIT CONTROLS

Overview

The Credit Controls set-up form is accessed via Address Management and selecting Credit Controls from the Edit Menu or by selecting the icon from the Toolbar.

This option allows for differing levels of credit control calculations to be held against customers. The system uses a default control but this may be amended for each selected customer address group code. The credit limit may be overridden by a pre-determined priority level.

If a customer is at their maximum credit limit the system does allows a quotation to be raised but does NOT allow a subsequent order to be created.

The form is split into three areas which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Credit Controls Dialogue Box

This area displays the address group code to which the credit control parameters apply followed by a series of seven Tabs which are as follows:

Contains the current credit limits and balance for the selected customer.

This Tab allows for up to twenty different Sales Ledger accounts (in addition to the primary Sales Ledger account) to be taken into account when calculating the outstanding debt for this customer. These accounts are checked for unpaid invoices, the value of which are added to the other items forming the outstanding debt calculation.

Enables items listed within this Tab , for agreements at a Quoted status, to be included or excluded from the calculation of outstanding debt value.

Enables items listed within this Tab , for agreements at an Accepted status, to be included or excluded from the calculation of outstanding debt value.

Enables items listed within this Tab , for agreements at a Live status, to be included or excluded from the calculation of outstanding debt value.

Enables items listed within this Tab , for agreements at a Terminated status, to be included or excluded from the calculation of outstanding debt value.

Enables items listed within this Tab , for agreements at a Washed Out status, to be included or excluded from the calculation of outstanding debt value.

Command Buttons

A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Exits the Credit Controls form and returns to the Address Groups form.

Provides online access to a context sensitive Help form.

Enables the creation of an additional record . Mutually exclusive option buttons allow this to be done in one of the two following ways:

Used if a new record is to be set-up without utilising existing criteria.

Copies the values within an existing "nearest match" record so that only required values need be edited.

Provides the facility for editing the set-up options of the current record. No edits can be made to a record until the Amend button has been selected.

Deletes the credit control record from the customer. This may result in not being able to accept any quotations until a new credit record is created for the selected customer.

Saves any amendments made to system controls and returns to the Address Groups form .  

On first accessing the form this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to a record to be cancelled.

This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured - OK"

Selection of this button displays a further form that provides an Ad-hoc Report Generator for the creation of quick query reports to form.

Selection of this button displays a further form that provides an itemised display of all the selection criteria for the current record.
