The Agreement Excess Rates set-up form is accessed via Fleet System Management / Miscellaneous Options / Excess Rates and is used to create, edit and delete excess rates at agreement level.
This option is potentially very dangerous. It allows the amendment of excess rates stored on the agreements. The changes, if made, are not auditable events. Careful consideration should be made as to the effect of any change with regard to the agreement made with the customer.
The primary reason for having this option on the system is to allow editing of excess rates on vehicles which have been put onto the system by means other that the quotations package, such as converted vehicles.
The form is split into three areas. These are the Titlebar , the Excess Rates Dialogue Box and the column of Command Buttons down the right-hand side of the form.
In addition to displaying the form name the Title Bar provides a number of useful buttons.
To create a new excess rate select the Create Command Button.
To view or amend an existing excess rate use the following procedure:
The cursor is located in the Master Number field prompting selection of an agreement number for the purposes of editing an existing record. A single-left-click of the ellipsis button to the right of this field displays an Agreements search form that enables selection from the current agreements on the system. The cursor is located in the search field. Key part or all of the required registration number associated with the required agreement and select the Reg. No command button. Registration numbers matching the entered criteria are displayed and, having selected the required registration number by highlighting with the mouse, the OK command button is used to confirm this selection and return the associated agreement number to the Excess Rates form.
Displays a number of details relating to the selected excess rate record which are as follows:
- Description
Displays a free-format meaningful textual description for the selected Excess Rate. This field contains a description of Kestrel Conversion if the agreement excess rate is converted from an original Kestrel quotation.
The description of the present excess rate is shown. If the rates are going to be changed then the description should be amended in some way to illustrate that a change has been made.
Value Type
Selection of the down-arrow-button immediately to the right of this button displays the two alternatives available for this field which are as follows:
RRatio
FFactor
This indicates whether the rate being represented is a value ratio (pence per mile) or a factor (percentage figure).
Base rate
This is the base level factor or value figure for the excess rates table.
Distance &Factor/Rate Grid
The distance breaks and rates for those distances.
Displays a number of details relating to the element split of the excess and under charges. This Tab is only displayed if the Use Split Excess checkbox is ticked in the Split Excess Tab with Terminations / System Parameters.
The Maintenance Rate + Tyres Rate + Residual Rate = a Total Base Rate. This Total is the XS(1) rate. The Maintenance and Tyre rates are entered manually within this form with the RV rate being the balancing figure. The
buttons may be used to select the corresponding NL codes.
- Maintenance Rate
The maintenance element split of the excess charge.
- Maintenance NL Code
The corresponding NL code for posting the maintenance excess split.
- Tyre Rate
The tyre element split of the excess charge.
- Tyre NL Code
The corresponding NL code for posting the tyre excess split.
- Residual Rate
The residual value element split of the excess charge. This value is calculated as a balancing figure.
- Tyre NL Code
The corresponding NL code for posting the residual value excess split.
- Total
The Total Base Rate. This Total is the XS(1) value.
- True Free XS%
A customer bespoke field.
- Excess Type
Enables selection from one of the following values:
A Annual Calculation: Uses the XSDUE routine.
T Termination Calculation: Raises the excess charge routine as per Terminations menu.
A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:
Exits the Excess Rates form and returns to the Miscellaneous Options Menu .
Provides online access to a context sensitive Help form.
Enables the creation of an additional Excess Rate . Mutually exclusive option buttons allow this to be done in one of the two following ways:
- Blank
Used if a new Excess Rate code is to be set-up without utilising existing criteria.
- Copy
Copies the values within an existing "nearest match" Excess Rate code so that only required values need be edited.
Note:Users should not attempt to create a new excess record.
Provides the facility for editing the set-up options of the current Excess Rate record. No edits can be made to a record until the Amend button has been selected.
Deletes the currently selected Excess Rate code record.
This is a dangerous option and should not be used without due care. This is not an auditable event.
On first accessing the Excess Rates form this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.

This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK"
