The Posting Tables set-up screen is accessed via Vehicle Purchasing / Miscellaneous Options / Posting Tables and is used to create, edit and delete posting tables for the values that are analysed into the Nominal Ledger when the costs are posted into accounts. A number of tables must be created in order to correspond with each Lease Type set up within the system.
For each Lease Type the posting tables define the nominal ledger debit and credit codes to which the values are posted for receipt, rechargeable receipt, invoice and rechargeable invoices. The Nominal Ledger debit and credit codes are defaulted-in from the Default Posting Table within Kerridge Utilities but may be amended for this company.
The screen is split into three areas. These are the Titlebar, the Posting Tables Dialogue Box and the column of Command Buttons down the right-hand side of the screen.
In addition to displaying the screen name the Title Bar provides a number of useful buttons.
To create a new posting table select the Create Command Button.
To view or amend an existing posting table use the following procedure:
The cursor is located in the Lease Type field prompting selection of a lease type code/name (set up within Fleet System Management / Miscellaneous Options / Lease Types) for the purposes of editing an existing posting table. A single-left-click of the ellipsis (...) box to the right of this field displays a Lease Types List Box from which the appropriate lease type is selected. This code has a matching description for example, CM Contract Hire With Maintenance. A double-left-click selects and confirms the required lease type (alternatively, single-left-click and select the OK command button).
The screen displays a series of Tabs denoting the relevant posting areas relating to the ordering of the vehicle. The appropriate Tab is to be selected and the appropriate nominal ledger debit and credit codes assigned to the constituent elements.
Defines the nominal ledger debit and credit expense codes to which the values are posted when a vehicle is received into stock.
Defines the nominal ledger debit and credit expense codes to which the values are posted when a vehicle is received into stock (but not yet invoiced) and the item(s) on the specification are to be recharged out.
Defines the nominal ledger debit expense codes to which the values are posted relating to the purchase of the vehicle. These codes are used when an invoice has been received and the option Post To Accounts is taken. All credit postings are to the Purchase Ledger Control account.
Defines the nominal ledger debit expense codes to which the values are posted relating to the items of a vehicle specification that are to be recharged. These codes are used when an invoice has been received and the option Post To Accounts is taken. All debit postings are to the Sales Ledger Control account.
Note: If an error is made while setting up the nominal ledger codes for a Posting Table, ADP can assist in the re-assignment of correct codes onto existing agreements.
A number of command buttons are available. Some buttons are context sensitive and are dimmed and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:
Exits the Posting Tables screen and returns to the Miscellaneous Options menu.
Provides online access to a context sensitive Help screen.
Enables the creation of an additional Posting Table. Mutually exclusive option buttons allow this to be done in one of the two following ways:
- Blank
Used if a new Posting Table is to be set-up without utilising existing criteria.
- Copy
Copies the values within an existing "nearest match" Posting Table so that only required values need be edited.
Provides the facility for editing the set-up options of the current Posting Table record. No edits can be made to a record until the Amend button has been selected.
Deletes the currently selected Posting Table.
On first accessing the Posting Tables screen this command button is dimmed. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.
On first accessing the Posting Tables screen this command button is dimmed. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.
This is not a command button. This box is a way of displaying messages with regard to the status of the current record for example, "Record loaded OK"
Selection of this button displays a further screen that provides an Ad-hoc Report Generator for the creation of quick query reports to screen.
Selection of this button displays a further screen that provides an itemised display of all the selection criteria for the current Posting Table.
