This option displays the parameters that relate to the archiving of files used in the transaction enquiries of previous years. It details when the archives were created, the data directory they reside in, and the size of the files.
To access this option
From the Autoline Master Menu select the Nominal Ledger option and the company you require.
Select Period end options.
The NL Period End menu is displayed.
Select the Yearly ATRAN archive headers option.
The Yearly archive transaction headers form is displayed.
Initially, the only field that is editable is the Archive year field. See the section on Using the GEDIT Form in the System Operator help files for instructions on searching for, amending, deleting and creating records.
The following fields must be completed:
Archive data dir.: The directory path on the Autoline server in which the data is stored prior to backing up. Enables you to access a previous year's data in NL Transaction Enquiry after running period-/year-end options. Can be set to accommodate more than 64 characters.
Note: Knowledge of the environmental variables and system directory structure is required before setting or amending these fields. It is possible to do either of the following (a or b):
Enter the full directory path (for example: user1/garage/north, and so on) that houses the particular archive year.
Warning: We recommend the use of option b if you have to type an exceptionally long string. The system cannot always retrieve the data if a string is too long. In that case, you would not see the data and you would think you had lost it!
Use the environmental variable ^ENV(ATRANCOPY) at the start of the string. That reduces the length of this field. This environmental variable is a short-cut to the start of the directory string. (For example, ^ENV(ATRANCOPY) could be a short-cut for /user1/garage/north/branch/nlarchive.) Therefore, all that needs to be entered in the ATRAN header field is the environmental variable and also the last part of the string (for example, nlatran/00/2009) that contains the division and year information.
Backup device: The actual device to which the data is archived, e.g. DATTAPE.
Total Size: The size of the files in kilobytes.
Number of files: The number of files should be set equal to the number of divisions created for the Nominal Ledger module.
Archive year mounted: Y or N, indicating whether this archive year has been mounted using the Mount/Unmount/Backup archives option on the NL Period End menu.
Date (un)mounted: The date on which this archive year was mounted or unmounted. The By field records the login of the user who mounted/unmounted.
Date copied: The date on which the archive year was copied. The By field records the login of the user who copied it.
Backup taken: Y or N, indicating whether this archive year has been backed up using the Mount/Unmount/Backup archives option on the NL Period End menu.
Date backed up: The date on which the archive year was backed up. The By field records the login of the user who mounted/unmounted.
System notes: A free text field in which to record notes, if necessary.
