Amending an Account

This topic explains how to amend Purchase Ledger accounts that already exist in your ledger.

To add/modify an account:

  1. From the Autoline Master menu select the Purchase Ledger option and the Company you require.

    The PURCHASE LEDGER menu is displayed.

  2. Select the Add/modify accounts option.

    The Creditor Accounts form is displayed.

On entry to the option you are presented with the Creditor Accounts form in which you can amend existing accounts. This form has the default values from your account defaults record already entered for you.

Using the search facilities provided, locate the account you want to amend or alternatively if the account code is known, enter it directly into the Account field at the top of the Creditor Accounts form.

When you have entered an account code that matches the image in the Purchase Ledger system parameters and tabbed off the Account field, Autoline loads the selected record in display mode and places an entry into the Message box at the bottom right of the form to inform you the Record loaded OK. If Autoline is unable to find the account entered, the Message box reads Record not Found.

Click the Amend button and Autoline informs you if the account has a balance or history attached to it. If this is the case, click the OK button and the following fields are disabled:

Whether you have had to respond to a message or not, when the record is successfully loaded, Autoline places an entry into the Message box at the bottom right of the form to inform you the Record secured OK.

You can now amend or enter new data into any of the editable fields on any of the tabs of the record.

When all your amendments and new data have been entered, click the Save button and Autoline places an entry into the Message box at the bottom right of the form to inform you the Record saved OK.

You can now return to the menu by clicking the Exit button. Alternatively you can repeat the procedure and amend further accounts.

BUTTONS:

In addition to the Create and Delete buttons (refer to Add/Modify accounts for further detail of how to use these buttons), the following buttons are displayed on the form:

Exit: Returns you to the PL MISCELLANEOUS OPTIONS menu.

Help: Displays help on the current application using the default browser.

Ad-hoc: Runs an enquiry down the accounts file.
