Deleting an Account

This help topic, part of Add/Modify Accounts, explains how to delete Sales Ledger accounts that already exist in your ledger.

On entry to the option you will be presented with the Debtor Accounts form upon which you can Delete existing accounts. This form will have the default values, from your Account defaults record, already entered for you.

Using the search facilities provided locate the account you wish to delete or alternatively if the account code is known then enter directly into the Account field at the top of the Debtor Accounts form.

Having entered an account code that matches the image in the Sales Ledger System Parameters and tabbed off the Account field, Autoline will load the selected record in display mode and place an entry into the Message box at the bottom right of the form to inform you the Record loaded OK. If Autoline is unable to find the account entered then the Message box will read Record not Found.

Click the Delete button and Autoline will inform you if the Account has a balance or history attached to it. If this is the case you are prohibited from deleting the account but instead are given the option to close the account. Click the Yes button if you wish to close the account. The closing of the account will prevent any further documents being posted but will continue to allow Cash allocations to be posted. If you respond with No to the Closure message Autoline will release the record and return you to the Account field on the Debtor Accounts form.

Note: An account that has been closed can be re-opened by trying to delete it. If the account is already closed you will be given the option to re-open the account. A closed account is indicated by the presence of a date in the Date account closed field on the Other Details tab.

If the account has no balance or history Autoline will enable a second Delete button and upon clicking this button the record will be deleted. Autoline will place an entry into the Message box at the bottom right of the form to inform you the Record deleted OK.

You can now return to the menu by clicking the Exit button. Alternatively you can repeat the procedure and delete further accounts.
