CRM Letter Wizard

The letter wizard provides you with a basic word processing tool allowing you to produce your own bespoke letter(s) for the selected record. The letters wizard allows you to print the letter from any record you currently have loaded be it a company, customer or vehicle.

Note: There are a few points which must be remembered here. If a company record is not attached to a customer record or none of the Departments on the customer record are set to send letters to the business address the letters icon will not be available from the company record. Also the letters icon will not be available on the vehicle record unless it is attached to a valid customer record.

The letters wizard will guide you through various steps giving you the option at the end to create a contact to which the letter can be attached.

The CRM Letter Wizard Form

This form is accessed by selecting the letters icon from a CRM record the form is split into five main areas. These are:-

Locations Tree

The locations window is a tree which ultimately allows you to print a letter list for a selected Department for a location. This means that you are able to print letters from any location and Department.

Note: The locations listed here are not necessarily locations related to the customer record the list is generated from the global locations file.

When the + is clicked next to the location the tree expands to display the Departments for that location available on the customer record. If there are other Departments available that are not currently created on the customer record a blue cross will be shown at the bottom of the Departments list. When this is clicked the customer Department details form is displayed which will allow you to add a new Department for the selected location to the customer record.

Once you have selected the Department that relates to the letter you want to send you can click the + next to the Department to reveal the letters already saved on the system for that Department. The next level of the tree will allow you to select the letter you want to send to the customer. Once the letter is selected the text of letter will appear in the word processing window and you can make any amendments needed to the text before printing the letter. Any amendments made to the letter will not be permanently saved.

If any of the Departments on the customer record have been marked as no correspondence or the customer has been marked to stop all mail when the letter is selected the system will open a pop up window advising you of this. You can if required OK this message box and still print the letters.

Printer selection

Below the locations window there is a field with a drop down which will enable you to select the printer that you want to use to print the letter. The system will automatically default to the client (windows) printer. If a KPrint printer is selected a second window will open below it which will allow you to select the KPrint form name.

The word processor

The word processor window on this form will not allow you to create a letter text on the fly. You can only amend the text and text properties of a letter template that has already been saved. The first drop down on this window allows you to select the font type for the text. Once a font has been selected the default font size will be entered into the second field, this can be changed by simply clicking the drop down and re selecting the font size. The other buttons are standard word processor buttons they allow you to change the text to bold, italic or underline it as well as changing the colour of the text. You can also include bulleted lists with in the text of the letter as well as change the orientation of the text.

Note: The word processor does not spell check if you want to check the spelling of the letter text you can copy and paste it in to word correct the spelling and then copy it back.

Icon Option Description
Print or File/Print from the menu bar This option allows you to print the letter to the selected printer.
File new New or File/Letter templates from the menu bar This option displays the Customer Letter Templates form where you will be able to create new letters. For more information on this click the link.
Exit or file/exit from the menu bar This option takes you out of the letter wizard and back to the loaded CRM record
Help or help/help from the menu bar. This option loads the help page for this form on your company's browser.
