When you have selected the accounts you want to include in the monthly submission, you can produce an export file for the current period. You can export accounts for the previous period, if required.
Note the distinction between the File > Re-send export file menu bar command on the Export Nominal Ledger Accounts form and the Download button on the Monthly download tab of that form. The former does not generate a new export file, which may include changed data, but merely resends (re-downloads) the last one. The latter generates a new monthly export file.
To generate and download a monthly export file:
Display the Export Nominal Ledger Accounts Form and, on the Monthly download tab select either the Current period or Previous period option button (radio button), as appropriate.
Click Download.
The system creates an export file for the selected period and downloads it from Autoline to your local computer or server. The following message is then displayed:
Accounts exported successfully
This tab is part of the Export Nominal Ledger Accounts Form. It enables you to generate and download the monthly export file from Autoline to your local computer or server.
OPTION BUTTONS:
Current Period: When you click Download, the system uses the live file to compile values for all the selected accounts from the start of the current period to today.
Previous Period: Brought forward balance. When you click Download, the system uses the archive file to compile values for all the selected accounts from the start of the current year to the end of the last period. You might use this option, for example, to generate figures from last month if you forget to do it before the period end.
Initial mapping file: Downloads the initial mapping file when you click Download
