The information and procedures detailed below are all related to creating WIP's that are allocated to Roadside Technicians so that they can be used on the RT App.
What do you want to do?
WIP's for Roadside Technician technicians are created in Point of Sale by the dealership. The normal method for creating WIP's is used, but some items have to be added and setup differently in order for them to be visible and actionable by the technicians. This includes booking the job to the correct technician.
Note: WIP's can also be created via Incident Management, although the details will still be input via POS.
New WIP's can be set up per customer requirements.
To create a new roadside technician WIP:
POS > Service POS.
The POS Main form is displayed.
Search for and select the customer/vehicle in the normal way. If possible, select the vehicle.
Note: If the vehicle identity is not known, the details can be left blank. However, further steps will be required when the technician has been booked.
Click the New Product selection.
Select Menu.
The Menu Codes form is displayed.
Select the MMK (Mobile Mechanic) menu.
The following labour lines will be added to the WIP. The technician uses them to clock travel time for the job. The time logged against is setup in Timebands.
MILEPART (Parts Collection Mileage)
Enter the labour code CALLOUT if a callout charge may be necessary.
Add any additional RTS coded and parts that may be necessary. These will be displayed on the WIP in the RT App.
Save the WIP.
It is possible for a WIP to be created for a technician where the vehicle details are not known at the time of creating the WIP. If this is the case, the WIP must manually be set to Take Possession of the Vehicle in order for the technician to view the details on the app. This could be possible where a customer brings a vehicle into the workshop but minimal details are entered so the job can be started. Further details can be entered later.
Once a WIP has been created, it must be booked to a RT technician in Workshop Loading.
To book a RT WIP to a technician:
POS > Service POS.
The POS Main form is displayed.
Create or open a WIP.
The WIP is ready to be booked to a RT technician.
Click Load.
The Workshop Launch Control form is displayed.
Click Load.
The Workshop Load form is displayed.
Click the date heading on the grid in the Workshop Load form that you want to book the technician for.
The Booking Wizard is displayed.
Select a time for the first task or simply click on the technician's name to allocate the first task to the next available time.
The first line will be allocated to the technician.
Click Leave All as all further lines will be linked to the first task.
Click Save.
The WIP will be re-displayed as Memo Only as no vehicle is allocated.
Click Load again.
The Workshop Load form is displayed.
Click Take Possession of Vehicle and enter the mileage.
The WIP is re-displayed as Technician Allocated. It is now visible to the selected technician on the mobile app.
In most cases, a WIP will be created for a technician with known vehicle details. If this is the case, the WIP is automatically set to Take Possession of the Vehicle in order for the technician to view the details on the app.
Once a WIP has been created, it must be booked to a RT technician in Workshop Loading.
To book a RT WIP to a technician:
POS > Service POS.
The POS Main form is displayed.
Create or open a WIP.
The WIP is ready to be booked to a RT technician.
Click Load.
The Workshop Launch Control form is displayed.
Click Load.
The Workshop Load form is displayed.
Click the date heading on the grid in the Workshop Load form that you want to book the technician for.
The Booking Wizard is displayed.
Select a time for the first task or simply click on the technician's name to allocate the first task to the next available time.
The first line will be allocated to the technician.
Click Leave All as all further lines will be linked to the first task.
Click Save.
The WIP will be re-displayed as Checked In as a vehicle was specified. It is now visible to the selected technician on the mobile app.
