Some dealers operate process controls to ensure that Showroom orders or VSB invoices cannot be progressed unless specified documents exist. When you are doing a Showroom order, making an order confirmation, taking a showroom deposit or invoicing the vehicle, control documents required for the vehicle or target must be obtained. Error or warning messages are displayed if they are not in place.
Autoline can provide a checklist of the progress codes and the documents that are needed to fulfil the requirement, and prevent processes from running unless the correct documents are in existence. This ensures that legal document requirements are fulfilled during the sales process, and that sales personnel cannot continue without the documents.
To configure control type definitions for CRM companies:
From the CRM ADD-ONS menu select the Control Document Type Setup option.
The Document Control Type Setup menu is displayed.
Select the Document Control Setup option.
The Control Document Type Setup form is displayed.
This form is displayed when you select the Document Control Setup option on the Document Control Type Setup menu. It enables you to configure control document types to define the documents required for progressing orders or invoices.
Menu Bar and Toolbar:
Menu bar Toolbar Action File > Exit Returns you to the Document Control Type Setup menu. Edit > Add Enables you to define a new Control document type. Edit > Amend Enables you to edit the current Control document type definition. Edit > Cancel Abandons any changes you made to the current Control document type definition. Edit > Save Saves any changes you made to the current Control document type definition. Edit > Delete ![]()
Deletes the current Control document type definition. Help Displays this Help topic in a browser.
CRM Company: CRM company number and name.
Control doc type: 1 for ID Document, 2 for Driver's licence or 3 for Payslip.
Description: Document control description.
Doc Classification: Document classification.
Priority to view: Minimum user priority required to view documents.
